Job Description: Patient Care Specialist at Marietta Facial Plastic Surgery, Laser & Aesthetics Center

Join our team as a Patient Care Specialist, responsible for providing exceptional patient service and support in a facial plastic surgery and aesthetic practice.

Responsibilities:

1. Answer incoming calls, qualify patients, and schedule appointments.
2. Respond to all emails within 4 hours.
3. Qualify providers and convert inquiries into consultations.
4. Organize and document all leads, including AIQ’s.
5. Check-in/check-out patients in EMA, confirm appointments, and scan paperwork.
6. Schedule consultations, accept deposits, and monitor schedules for productivity.
7. Process patient purchases in QuickBooks and mail products.
8. Update patient demographics and ensure HIPAA compliance.
9. Send appointment confirmations and webinar invitations.
10. Manage opening/closing procedures for LightSpeed and EMA, and office opening/closing.
11. Educate patients about skin care products and sell products.
12. Manage loyalty points for ALLE and Aspire programs.
13. Print and document daily paperwork, maintain inventory, and update email database.
14. Maintain professional appearance and communication standards.
15. Perform additional duties as assigned.

Knowledge, Skills, and Abilities:

• Strong knowledge of aesthetic services and skin care products.
• Proficiency in EMA, LightSpeed, and Microsoft Office.
• Excellent customer service, communication, and organizational skills.
• Attention to detail, self-motivated, and flexible.
• Ability to prioritize, document accurately, and maintain HIPAA compliance.

Minimum Qualifications:

• High School Diploma or equivalent.
• 1-3 years experience in a facial plastic surgery, medi-spa, or cosmetic dermatology office.
• Ability to perform essential functions with or without accommodations.
