AEG Vision is seeking a Patient Care Coordinator to manage front desk operations, patient flow, and schedule coordination. You will serve as the main contact for patients, coordinate with the care team, and ensure a high-quality patient experience.

Responsibilities include greeting patients, handling calls and emails, verifying insurance, and maintaining accurate EMR records. The role emphasizes efficiency, confidentiality, and teamwork in a fast-paced optometry setting.

Qualifications

• High school diploma or equivalent required.
• Basic computer literacy and ability to learn practice management systems (EMR).
• Strong organizational skills with attention to detail and ability to manage multiple priorities.
• Strong communication skills (verbal and written) with a focus on patient-centered service.
• Strong interpersonal skills and ability to work collaboratively across teams.
• Ability to proactively identify issues and contribute to solutions in a fast-paced environment.
• Must be able to maintain patient and practice confidentiality.

Responsibilities

• Greet patients, customers, and vendors in a friendly, professional manner; serve as the primary contact for patient interactions.
• Answer telephone calls, respond to inquiries, and manage email or digital communications promptly.
• Schedule patient appointments while supporting provider schedule optimization, including cancellations and rescheduling.
• Execute appointment confirmations and reminders to reduce no-show rates.
• Verify insurance eligibility and patient demographics; enter and maintain information in EMR.
• Communicate coverage, benefits, and patient financial responsibility clearly.
• Prepare patient charts and documentation ahead of visits to support efficient flow.
• Record charges, co-pays, and payments in EMR; allocate balances and support claims.
• Run reports to ensure charges are billed and up to date.
• Monitor daily patient flow and provider schedules; adjust for efficiency.
• Communicate wait times and next steps to patients.
• Coordinate with clinical and optical teams for smooth transitions during visits.
• Support recall and reactivation outreach for annual and medically necessary appointments.
• Maintain a clean, organized front office environment.
• Perform other duties as needed by Practice Manager or Optometrist.
