Job summary

AEG Vision is seeking a Patient Care Coordinator to manage front desk operations and support patient flow across the care team. You will help optimize schedules, respond to inquiries, verify insurance, and ensure accurate EMR entries for a high-quality patient experience.

The role requires strong organizational and communication skills, multitasking ability, and a collaborative approach to working with clinicians and staff.

Qualifications

• High school diploma or equivalent required.
• Basic computer literacy and ability to learn practice management systems (EMR).
• Strong organizational skills with attention to detail and ability to manage multiple priorities.
• Strong communication skills (verbal and written) with a focus on patient-centered service.
• Strong interpersonal skills and ability to work collaboratively across teams.
• Ability to proactively identify issues and contribute to solutions in a fast-paced environment.
• Maintain patient and practice confidentiality.

Responsibilities

• Greet patients, customers, and vendors professionally and be the primary contact for patient interactions.
• Answer calls, respond to inquiries, and manage email or digital communications.
• Schedule patient appointments and optimize provider schedules, including cancellations and same-day fill opportunities.
• Execute appointment confirmations and reminders to reduce no-shows.
• Verify insurance eligibility and patient demographics; enter data into EMR.
• Communicate coverage, benefits, and patient financial responsibility clearly.
• Prepare patient charts and documentation ahead of visits to support flow.
• Record charges, co-pays, and payments in EMR; balance accounts and assist with claims.
• Run reports to ensure charges are billed and up to date.
• Monitor patient flow and provider schedules and adjust to reduce bottlenecks.
• Communicate wait times and next steps to patients.
• Coordinate with clinical and optical teams to ensure smooth transitions.
• Support retention through follow-up and recall outreach for appointments.
• Maintain an organized, clean front office environment.
• Perform other duties as assigned by Practice Manager/Assistant Practice Manager/Optometrist.
