Responsibilities

  • Serve as the primary point of contact for patients at the front desk.

  • Manage a multi-line phone system and route calls.
  • Verify authorizations before patient appointments.
  • Coordinate scheduling with providers and urgent needs.
  • Provide essential patient support using reference documents and tools.
  • Perform administrative tasks and maintain information/ paging databases.
  • Operate EMR systems to complete daily tasks.
  • Meet or exceed department service standards.
  • Respond to patient messages and escalate as needed.
  • Distribute incoming faxes, mail, and clinic documents.

We are seeking a highly organized and compassionate individual to join a dynamic clinical team. In this pivotal role, you will be the welcoming face and voice for patients, ensuring their administrative journey is smooth and stress-free. Your expertise in managing front office operations, coordinating appointments, and handling essential patient communications will directly contribute to the efficient delivery of healthcare services and significantly impact patient satisfaction.

To be considered for this role, you must:

  • Be authorized to work in the United States
  • Not require sponsorship of any kind for the duration of the assignment
  • Be able to work on a W-2 basis. C2C or 1099 is not permitted for this position
  • Be able to work the following schedule: Monday - Friday, 8:00 AM - 5:00 PM
What You Will Do
  • Serve as the primary point of contact for patients, managing front desk operations, check-ins, and check-outs.
  • Warmly greet and welcome patients, assisting them with questions regarding appointments, payments, and schedules.
  • Efficiently manage a multi-line phone system, screening and routing calls, and taking accurate messages for clinical staff and providers.
  • Ensure all necessary verifications and authorizations are completed before patient appointments.
  • Collaborate with providers to align scheduling preferences and respond promptly to urgent patient needs.
  • Provide essential patient support by utilizing reference documents and tools to address inquiries.
  • Execute various administrative tasks, including maintaining information and paging databases, and processing internal forms.
  • Effectively utilize telephone systems and electronic medical records systems to perform daily tasks.
  • Consistently meet or exceed organizational and department service standards.
  • Respond to non-clinical patient messages and inquiries, escalating as appropriate.
  • Manage and distribute incoming faxes, mail, and clinic-specific documentation.
Must-Have Qualifications
  • High School Diploma/GED.
  • Knowledge of medical terminology.
  • Proficiency in computer systems and relevant software applications.
  • Excellent written and verbal communication skills appropriate for a professional setting.
  • Demonstrated ability to provide exceptional customer service, solve problems efficiently, and manage multiple priorities in a fast-paced environment.
  • Familiarity with Windows-based office software, computers, and operating systems.
  • Ability to adapt communication style to effectively engage with diverse individuals.
  • Proven ability to maintain composure and effectiveness in stressful situations.
