Position Summary
Patient Access Specialists are responsible for the daily operational, financial, clerical, and patient services necessary to maintain the efficient flow of the health center. Patient Access Specialists are responsible for providing the best first impression to all patients and visitors, ensuring that they receive timely, accurate, and compassionate assistance. Patient Access Specialists function as a key component of the revenue cycle, ensuring that patients are accessing all available financial resources to help keep their care as low as possible Patient Access Specialist are often the first point of contact and promote seamless access to care and serves as an ambassador to fulfilling the health center’s mission and ensuring that no patient is turned away for their inability to pay.
Duties And Responsibilities

- Welcome and greet all patients and visitors, in person, over the phone, or via live chat in a polite and professional manner.
- Responsible for scheduling, re-scheduling, canceling patient appointments across all service lines, ensuring optimal efficiency.
- Serve as the first point of contact for patients, responding promptly to inquiries, scheduling appointments, and addressing questions about available services with professionalism and accuracy.
- Conduct calls to confirm and remind patients about upcoming appointments, verify eligibility, and ensure patient demographics are updated.
- Identify urgent situations and promptly route calls to the appropriate medical personnel or emergency services.
- Complete check-in/check-out, update demographics, verify insurance eligibility, etc.
- Monitor and respond to voicemails with accuracy and timeliness, ensuring no communication gaps.
- Assist new patients with the registration process and ensure that registration is updated annually.
- Input and maintain patient information, call logs, and appointment details within the electronic health record (EHR) system with precision.
- Work closely with medical providers, care coordinators, administrative staff, and other departments to ensure seamless communication and continuity of care.
- Collect co-payments and patient balances.
- Facilitate patient flow by notifying the clinical staff when patients arrive, being aware of delays and communicating effectively with both patients and staff.
- Ensures that daily tasks achieve department goals for Key Performance Indicators (KPI) such as No-Show rate, abandoned call rate, front-end collections, etc.
- Assist patients using the Healow app to access their patient portal.
- Attend all department meetings as directed.
- Protect patient confidentiality by following all HIPAA standards and securing Protected Health Information (PHI).
- Assist patients in connecting with relevant social services and community resources, both within the health center and externally.
- Contribute to the continuous improvement of department operations by identifying inefficiencies and suggesting solutions.
- Maintain a clean and organized lobby and work area.
- Performs special assignmentsand other work, on an as-needed basis.
Education and/or Experience
- High School Diploma or Graduation Equivalency Degree (GED) or High School Equivalency (HSE) required.
- 1-2 years of experience in patient registration, patient financial counseling, insurance navigation, or similar experience required.
- Excellent communication skills, strong attention to detail, and computer proficiency required.
- Experience with Microsoft 365 (Outlook, Teams, SharePoint, Excel, etc.) required.
- Bilingual (English/Spanish) preferred, but not required.
- Work or lived experience may substitute for education requirements on a case-by-case basis.
Knowledge, Skills, And Abilities
Possess superior organizational and administrative skills. Excellent interpersonal and communication abilities. Excellent computer skills in a Microsoft Windows environment. Ability to work independently and achieve high standards of productivity, achieving deadlines and with superior product results. Strong calendaring, organizational, and document management skills required. Proactive approach to solving problems and communicating to leadership. Knowledge of office management systems, procedures, and office equipment required. Excellent time management skills and ability to prioritize work.
