• Greets patients in person or by phone and updates insurance/demographics in the practice management system.
• Verifies insurance coverage and ensures physician accepts the insurance presented by the patient.
• Communicates with staff to prepare patient records and manage patient arrival times.
• Processes HIPAA paperwork and other forms as required.
• Collects referrals or insurance authorizations as needed.
• Monitors waiting room status and informs patients about wait times.
• Collects co-pays or records payments per cash-control procedures.
• Schedules follow-up appointments and provides patients with records request guidelines.
• May perform simple charge entry and deposit preparation; duties may be mutually exclusive.
• Answers phones and schedules appointments.
• Ensures PHI handling complies with HIPAA and state requirements.
• Performs reminder calls for next-day appointments.
