NewView Oklahoma is seeking an Intake Coordinator to serve as the first contact for patients, families, and referral sources at the Oklahoma City Clinic. Qualifications

• High school diploma or equivalent required.
• Medical office experience preferred (front-desk, scheduling, insurance verification or similar).
• Experience with revenue cycle functions (eligibility, copays, basic authorizations, and patient collections) preferred but not required.
• Experience supervising, training, or coordinating front-office staff is a plus.
• Experience working with individuals who are blind or visually impaired is preferred but not required; training will be provided.
• Demonstrates kindness, patience, and empathy when working with patients.
• Strong willingness to learn, grow, and adapt in a changing healthcare environment.
• Clear and compassionate communication; ability to build trust and provide patient-centered service.
• Strong organizational habits and ability to manage multiple priorities; scheduling and admin tasks can be learned.

Responsibilities

• Performs comprehensive intakes for all new patients and gathers needed information.
• Sends new patient packets and intake forms; assists with accessibility accommodations.
• Manages provider calendars, reminders, wait lists, and recall lists.
• Greet patients, complete check-in in the EMR, and ensure accurate demographics and insurance data.
• Supports patients with vision-related barriers to accessing appointments.
• Handles referrals and faxes per established protocols.
• Maintains referral logs, tracks authorizations, and follows up on documentation.
• Collects payments at check-out and answers patient questions about services.
• Processes device purchases at the low vision store using POS.
• Assists with mailing letters and other day-to-day admin tasks.
• Verifies insurance eligibility, benefits interpretation, copays, and authorizations.
• Obtains prior authorizations for exams and services as needed.
• Documents payments and supports revenue cycle processes.
• Ensures accurate demographic/insurance/referral data at each visit.
• Collaborates with billing/administration to prevent denials and ensure accuracy.
• Follows all company policies including safety policies.
• Performs other duties as assigned.
