Qualifications

  • Bachelor’s Degree required; JD or paralegal preferred but not required.
  • 6+ years in recordal processes with patent, trademark or IP legal exposure preferred.
  • Strong project management and ability to lead a globally-based team.
  • Excellent written communication and attention to detail.

Responsibilities

  • Direct and oversee global recordal projects across client portfolios.
  • Implement and update standardized IP processes and trackers.
  • Maintain compliance with country-law requirements for recordal.
  • Prepare regular reporting and conduct internal and client meetings.
  • Escalate delays and manage deadlines for a multinational team.

Job description

Oversee global and fast-paced recordal projects for our clients at various sizes of scale. Implement and update standardized processes within our IP department that support client, project, and business needs. Maintain recordal trackers, ensure compliance with legal requirements, and liaise between agents and clients to ensure accurate records. A fundamental aspect of this role is the ability to drive efficiencies for the success of our clients, and manage the formal documentation required to update intellectual property (IP) ownership, including assignments, mergers, address changes, and name changes across global portfolios.

Description
  • Direct projects successfully to meet client schedules, internal processes, and quality requirements
  • Participate in development and documentation tracking of recordal AI and automation processes
  • Oversee recordal projects to ensure they are supported through correspondence, tracking, progress charts, and maintenance of records
  • Ensure all documents meet specific country-law requirements for recordal, including signature requirements, notarization, legalization, or translation
  • Prepare regular reporting updates and conduct internal and client meetings
  • Send instructions and review incoming correspondence from foreign associates or IP offices
  • Review recordal filing receipts and confirmation certificates to ensure project goals are met
  • Escalate timely and thoroughly to manage any deficiencies or delays that impact internal and client deadlines
  • Work consistently to achieve ideal service goals
CONTRACT TO HIRE POSITION
  • Exceptional attention to detail, strong organizational abilities, and proficiency in written communication
  • Enthusiasm in learning new workflows and technologies, including automation tools
  • Demonstrated analytical skills for managing complex projects
  • Proactive approach to resolving challenges alongside project managers and process leads
  • Ability to multi-task and meet deadlines for a globally-based team
  • Bachelor’s Degree required, JD or paralegal preferred but not required
  • Background of 6+ years in recordal processes and management with experience in a similar patent, trademark or IP legal role highly preferred
  • Strong project management skills with a commitment to intellectual property services and governance
  • Solid understanding of patent and trademark prosecution procedures and international IP rules.
  • Client-facing experience or interest in developing client relationships
