• Support established geographic operating patterns while remaining flexible for demand-response transport.
• Track KPI metrics like trips per vehicle, on-time performance, and utilization.

Passenger Transportation Scheduler Lead

Position Summary

The Passenger Transportation Scheduler Lead is responsible for leading the day-to-day scheduling and coordination of our passenger transportation services. This position serves as the primary operational lead for maximizing the efficiency of daily routes, vehicle utilization, driver assignments, and passenger scheduling while maintaining a high level of customer service and on-time performance.The Scheduler Lead works closely with transportation leadership, schedulers, dispatchers, and drivers to ensure that available transportation resources are used effectively. The position takes an active role in reviewing and optimizing schedules generated through CTS, identifying opportunities to combine trips, reduce unnecessary mileage and vehicle downtime, and improve overall productivity.

Essential Duties and Responsibilities

• Lead the daily passenger scheduling process and provide direction and support to transportation schedulers.
• Review CTS-generated schedules and make operational adjustments to improve route efficiency.
• Maximize the number of productive passenger trips completed with available drivers and vehicles.
• Identify opportunities for trip grouping, ride sharing, geographic clustering, and more efficient vehicle assignments.
• Monitor vehicle capacity, driver availability, service areas, appointment times, and passenger needs when building schedules.
• Minimize excessive deadhead mileage, unnecessary vehicle movement, and unproductive driver time.
• Review schedules in advance to identify potential problems before the service day.
• Coordinate with dispatch throughout the day to respond to cancellations, changes, delays, call-outs, and unexpected transportation needs.
• Reassign or restructure trips when necessary to maintain efficient service.
• Help establish geographic operating patterns or preferred service areas for vehicles while maintaining flexibility for demand-response transportation.
• Monitor scheduling and operational KPIs, including trips per vehicle/service hour, on-time performance, vehicle utilization, cancellations/no-shows, deadhead mileage, and productivity.
• Identify recurring scheduling patterns that create inefficiencies and recommend operational changes.
• Assist transportation leadership in evaluating whether certain trips may be more efficiently provided through alternative transportation resources when appropriate.
• Coach and support scheduling staff in consistent scheduling practices and effective use of CTS.
• Maintain clear communication between scheduling, dispatch, drivers, customer service, and transportation leadership.
• Assist with training new scheduling and dispatch employees.
• Serve as a resource for complex scheduling situations and passenger transportation problems.
• Support company goals for increasing ridership while maintaining safe, reliable, cost-effective transportation.
• Perform other transportation-related duties as assigned.
