Responsibilities
- Process payroll accurately and on schedule using QuickBooks Payroll or other designated payroll software.
- Collect, review, and enter employee payroll information, including new hires, rate changes, promotions, transfers, deductions, and terminations.
- Maintain payroll records by collecting, calculating, and entering employee compensation data, including hours worked, productivity, paid time off, and applicable earnings or deductions.
- Receive, review, and verify employee timesheets and productivity reports for accuracy and completeness prior to payroll processing.
- Audit payroll reports to identify and resolve discrepancies before payroll is finalized.
- Ensure employees are compensated accurately based on approved timesheets, productivity reports, and agency payroll policies.
- Research and resolve payroll discrepancies by gathering and analyzing supporting documentation.
- Process payroll adjustments, corrections, retroactive payments, and off-cycle payrolls as needed.
- Maintain payroll spreadsheets and supporting documentation using Microsoft Excel.
- Respond to payroll-related questions from employees while maintaining confidentiality and complying with privacy requirements.
- Maintain employee payroll records in accordance with agency policies and federal and state record retention requirements.
- Assist Human Resources with payroll-related onboarding and employee status changes.
- Prepare payroll reports and provide requested payroll information to leadership.
- Monitor payroll deadlines to ensure timely completion of each payroll cycle.
- Stay current on payroll regulations and assist with implementing payroll policy updates as needed.
- Maintain strict confidentiality of employee compensation and payroll information.
- Communicate payroll issues, concerns, or trends to the Payroll Supervisor or leadership promptly.
- Perform other payroll-related duties as assigned.
Qualifications
- High school diploma or equivalent required.
- Associate's or Bachelor's degree in Accounting, Business Administration, Human Resources, or a related field preferred.
- Minimum of one year of payroll processing experience preferred.
- Experience with QuickBooks Payroll or similar payroll software preferred.
- Advanced proficiency in Microsoft Excel and Microsoft Office applications.
- Strong mathematical, analytical, and problem-solving skills.
- Excellent attention to detail and organizational skills.
- Ability to manage multiple priorities while meeting strict payroll deadlines.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and exercise discretion when handling sensitive employee information.
