About the Role
Our client is seeking a proactive and highly organized Workplace Experience & Events Manager to oversee day-to-day operations at its Seattle office. This individual will create a welcoming, efficient, and engaging workplace for employees and visitors.
The ideal candidate has experience managing office operations, facilities, vendors, employee programs, and onsite events. This position requires strong organizational skills, attention to detail, and the ability to work independently in a fast-paced environment.
Workplace and Office Operations
- Manage the daily operations of the Seattle office and conduct regular workplace walkthroughs.
- Maintain a clean, safe, organized, welcoming, and fully functional office environment.
- Manage office, kitchen, and facilities supplies, including inventory, ordering, and restocking.
- Receive, organize, and distribute mail, packages, and deliveries.
- Serve as the primary onsite contact for facilities and technology-related concerns.
- Submit and monitor Facilities and IT support tickets to ensure timely resolution.
- Coordinate repairs, maintenance, cleaning, and other onsite services with building management and external vendors.
- Partner with IT, Human Resources, Facilities, Food Programs, and other internal teams to support workplace operations.
Events and Employee Experience
- Plan, budget, coordinate, and execute onsite events and employee engagement activities.
- Organize holiday celebrations, social gatherings, team-building activities, and company-wide initiatives.
- Coordinate daily meals, snacks, beverages, and other employee amenities.
- Decorate and prepare the office for holidays, events, and engagement programs.
- Gather employee feedback and identify opportunities to improve the workplace experience.
- Communicate office announcements, events, service changes, and other site-specific information.
- Maintain accurate internal office documentation, wiki pages, and intranet resources.
Administrative and Leadership Support
- Manage the office budget, track expenses, and maintain accurate financial records.
- Provide administrative and logistical support to site leadership.
- Coordinate workplace requirements for new-hire onboarding and orientation.
- Support important meetings, company broadcasts, and onsite programs by coordinating rooms, technology, catering, and other logistics.
- Partner with leadership and Facilities on office space planning and anticipated headcount requirements.
- Handle additional administrative and workplace projects as assigned.
Required Qualifications
- At least 2–5 years of experience in office management, workplace operations, employee experience, facilities coordination, events, or a related role.
- Demonstrated experience coordinating corporate events and employee engagement programs.
- Experience managing vendors, facilities services, office supplies, and workplace programs.
- Strong organizational and time-management skills.
- Ability to manage multiple responsibilities and adjust to changing priorities.
- Excellent written and verbal communication skills.
- Strong attention to detail and commitment to providing excellent employee-facing service.
- Ability to work independently and resolve workplace concerns proactively.
- Proficiency with Google Workspace, including Gmail, Calendar, Docs, Sheets, and Slides.
- Ability to work onsite at the Seattle office.
Preferred Qualifications
- Experience supporting a high-growth technology, automotive, robotics, or engineering organization.
- Experience managing office budgets and tracking operational expenses.
- Familiarity with workplace ticketing, facilities, intranet, or vendor-management systems.
- Experience coordinating executive meetings, company broadcasts, or large employee events.
