Job summary

Healthy Kids Extended Day Programs is seeking a highly organized, detail-oriented Compliance Coordinator to support documentation, licensing, and compliance activities across our growing, multi-state organization. Reporting to the CEO and collaborating with Operations, Registration, HR, and other departments, you will ensure accurate, up-to-date records and schedule follow-ups for health documentation.

A hands-on administrative role focused on organization, tracking, and problem-solving.

Responsibilities

• Track required medical and health documentation for children across multiple states.
• Review records for missing, incomplete, or expired documentation.
• Monitor expiration dates and coordinate follow-up on required updates.
• Maintain accurate spreadsheets, databases, checklists, and compliance records.
• Track state-specific childcare licensing and documentation requirements.
• Monitor regulatory deadlines, renewals, and expiration dates.
• Assist with keeping internal compliance information current as requirements change.
• Organize documentation for licensing reviews, inspections, and audits.
• Track outstanding compliance items and follow up through completion.
• Prepare routine compliance reports and provide the CEO with updates on outstanding items.
• Communicate with internal teams to obtain missing information and resolve documentation issues.
• Identify discrepancies or potential compliance concerns and escalated them to the CEO or appropriate department.
• Maintain confidentiality when handling children's, family, and employee information.
• Assist with compliance projects and other related administrative duties as assigned.
