Job summary

Healthy Kids Programs is seeking a part-time Regulatory Compliance Specialist to support multi-state compliance across our childcare programs. The role focuses on tracking children's health documentation, maintaining accurate records, and coordinating licensing-related tasks.

The ideal candidate will be highly organized, tech-savvy, and able to manage deadlines while protecting confidential information. In-person, with a compensation of $21–$24 per hour, based on experience.

Responsibilities

• Track required medical and health documentation for children across multiple states.
• Review records for missing, incomplete, or expired documentation.
• Maintain accurate spreadsheets, databases, and tracking systems.
• Monitor expiration dates and send reminders regarding required updates.
• Follow up with appropriate teams regarding outstanding documentation.
• Help ensure documentation is collected and maintained according to applicable requirements.
• Identify issues and bring them to the attention of the CEO or appropriate department.
• Maintain organized information regarding childcare requirements across approximately 15 states.
• Assist with tracking state-specific licensing and documentation requirements.
• Monitor regulatory deadlines, renewals, and expiration dates.
• Assist with keeping internal compliance information current when requirements change.
• Help organize information and documentation for licensing reviews, inspections, and audits.
• Track outstanding compliance items and follow up through completion.
• Prepare routine compliance reports, spreadsheets, checklists, and tracking documents.
• Maintain accurate compliance databases.
• Provide the CEO with updates regarding outstanding documentation and compliance items.
• Communicate with internal teams to obtain missing information and resolve documentation issues.
• Assist with compliance audits and administrative projects.
• Maintain confidentiality when handling children's, family, and employee information.
• Perform other related duties as assigned.
