Job summary

Assumption - Blessed Virgin Mary, Decatur, TX is seeking a diligent administrative assistant to manage data entry, filing, and general office duties in support of the Business Manager and Pastor.

The role involves coordinating Safe Environment programs, preparing training packets, and communicating HR policies within the parish. Qualified candidates should have an associate degree or relevant experience and strong organizational skills.

Qualifications

• Associates degree or experience in administrative management or equivalent years’ experience.
• Excellent communication and presentation skills.
• Willingness and ability to learn parish software.

Responsibilities

• Safe Environment Coordinator establishes, develops, maintains, and updates filing systems (hard copy and electronic).
• Collaborate with facilitator. Prepare packets, coordinates materials needed, signup sheets and opening/closing of training room.
• Collaborate with the Business Manager to communicate Human Resources and/or Safe Environment policies and procedures to the parish.
• Assists with updating VIRTUS and preparing for audit.
• Notifies volunteers, via email, phone, and/or direct mail when their Safe Environment training date is within 60 days of expiration.
• Conducts routine monitoring of reports to ensure volunteers are current with the Safe Environment requirements for their ministry.
• Coordinates the Parish Safe Environment Program with the Diocesan Safe Environment Office staff.
• Ensures the electronic scanning and filing of all hard copy records.
• Other duties as assigned by the Pastor and/or Business Manager
