Job summary

EcoWater Systems LLC in Eagan, MN is seeking an Order Management Specialist to accurately process customer orders from entry through fulfillment and invoicing. You will monitor status, resolve discrepancies, and communicate with customers and internal partners to ensure on-time delivery.

You will work cross-functionally with Sales, Supply Chain, Logistics and Finance, drive process improvements, and maintain detailed order information while supporting a fast-paced order-to-cash environment.

Qualifications

• High school diploma or equivalent is required.
• 1+ years in order management, customer service, or related operations.
• Strong knowledge of ERP systems and Microsoft Office suite.

Responsibilities

• Process and manage customer orders from entry through fulfillment and invoicing.
• Take calls from customers regarding order status and pricing.
• Review orders for pricing, terms, availability, freight, and requirements.
• Manage holds, changes, cancellations, returns, shortages, and back-orders.
• Investigate discrepancies involving pricing, quantities, shipments, or invoices.
• Maintain accurate customer, product, and shipping data; document root causes.
• Escalate supply or delivery risks and partner to resolve issues for on-time delivery.
• Monitor order status, inventory levels, and shipment details; communicate with partners.
• Support continuous improvement of order accuracy, lead time, and customer satisfaction.

The position monitors order status, identifies and resolves exceptions, and provides timely communication to customers and internal partners. Working closely with customers, Sales, Supply Chain, Logistics, Finance, IT, and Operations, the specialist supports order accuracy, on-time delivery, customer satisfaction, and continuous improvement across the order-to-cash process. The Order Management Specialist reports to the Manager of Customer Experience and is located at the EcoWater Systems head office in Eagan, MN.**Overall Responsibilities****Order Management*** Process and manage customer orders accurately from entry through fulfillment and invoicing.* Take and return calls from customers regarding status of their orders* Reviewing orders for pricing, terms, availability, freight, and customer-specific requirements* Managing order holds, changes, cancellations, returns, shortages, and back-orders* Investigating discrepancies involving pricing, quantities, shipments, or invoices* Maintaining accurate customer, product, and shipping information* Documenting root causes and recurring order issues* Escalating supply or delivery risks based on defined criteria* Partner with Sales, Supply Chain, and Logistics to resolve order discrepancies and ensure on-time delivery.* Monitor order status, inventory levels, and shipment details to proactively communicate with internal and external partners.* Support continuous improvement initiatives related to order accuracy, lead time, and customer satisfaction.**Cross-Functional Collaboration*** Partner with IT, Finance, Supply Chain, Sales, and Operations to align order processes and resolve issues efficiently.* Support end-to-end order-to-cash processes, including order entry, fulfillment coordination, invoicing, and customer communication.* Contribute to cross-functional projects focused on process standardization, service improvement, and operational efficiency.**Qualifications, Skills, Competencies**Required qualifications.* High school diploma or equivalent* 1+ years of experience in order management, customer service, sales operations, or a related operations role.* Strong working knowledge of ERP system.* Proficiency with Microsoft Excel, Word, Teams, Outlook, and related business applications* Ability to manage detailed transactions and competing priorities* High attention to detail and commitment to order accuracy and customer service.* Excellent communication, problem-solving, and organizational skills.* Ability to work cross-functionally and manage multiple priorities in a fast-paced environment.Preferred qualifications* Associate or bachelor’s degree in business, Supply Chain, or a related field preferred.* Experience with Epicor* Complete order-to-cash processesMeasurable success expectations* Order-entry accuracy* Order processing turnaround* Total orders entered* Invoice or pricing discrepancy rates* Customer response time* Internal and external customer satisfaction* Completion of process-improvement actions**Working Conditions**Hours of work will generally be during regular business hours with at least 40 hours a week but may vary according to special projects, deadlines or other concerns.
