Job summary

Massachusetts Eye and Ear Infirmary provides broad administrative and operational support to the Practice Manager, including payroll approvals, monthly metric reporting, and staff development. When the Practice Manager is unavailable, the role steps in as Acting Manager to ensure continuity across multiple sites.

Qualifications

• Associate’s or Bachelor's degree or equivalent combination.
• 2–3 years of administrative or project coordination experience.
• Proficient in Microsoft Office applications; strong organizational and communication skills.

Responsibilities

• Coordinate and manage daily administrative and operational activities to support clinical departments.
• Cover and support sites' operations when Practice Manager vacancies occur.
• Identify opportunities for process improvement to enhance efficiency and patient care.
• Serve as liaison between clinical staff, administrative teams, and leadership to ensure seamless communication.
• Ensure compliance with hospital policies, regulatory requirements, and operational standards.
• Manage scheduling, resource allocation, and logistics to support departmental needs at various site locations.
• Provide training and support to staff to ensure adherence to procedures and protocols.
• Develop and maintain accurate records, reports, and documentation related to operations.
• Resolve operational issues and escalate complex matters to leadership when necessary.
• Support special projects as assigned across sites, collaborates with interdisciplinary teams to implement new initiatives and support organizational goals.
