Operations Specialist / Administrative Assistant

Position Overview

As an Operations Specialist, you will be an integral part of the team, contributing to the seamless functioning of various office operations. This multifaceted role requires a versatile professional with expertise in customer service, personnel, and operations support. The successful Operations Specialist will excel in a dynamic environment, demonstrating the ability to handle diverse tasks efficiently.

Essential Job Functions
  1. Act as a point of contact for inquiries, providing exceptional service and fostering positive relationships with patients, caregivers, colleagues, and external stakeholders.
  2. Collaborate with teams to enhance overall customer satisfaction and experience.
  3. Physician signature management:
  • Track and obtain signed plans of care (POCs) from medical personnel.
  • Manage physician order tracking in myUnity.
  • Support clinical team in assembling initial POC packets and submitting for signatures.
  • Assemble and submit re-certification POC packets with required paperwork and obtain physician approval.
  • Location Support:
    • Coordinate day-to-day office operations.
    • Manage documentation and records.
    • Coordinate logistics for meetings and office functions.
    • Oversee office supplies, equipment, and facilities.
    • Assist with incoming calls and mail distribution.
    • Process invoices as per guidelines.
  • Employee Relations Activities:
    • Support onboarding, offboarding, and record-keeping.
    • Coordinate fingerprinting and recruiting activities.
    • Maintain caregiver credentials and prepare reports.
    • Serve as backup for payroll processes.
    Requirements
    • High school diploma or GED
    • Two years of general office experience
    • Proficient typing and Microsoft Office skills
    Preferences
    • Experience in private duty, home care, or healthcare
    • Advanced Excel skills

    • Maintain confidentiality and professional boundaries.
    • Remain calm under stress.
    • Attention to detail, time management, problem-solving, organization, and communication skills.
    Physical Requirements
    • Ability to speak, read, write, and understand English.
