The Operations Manager For Our PR Agency Will Be Responsible For:
- Managing and increasing the effectiveness and efficiency of Support Services (HR, IT, and Finance) for PR Agency, through improvements to each function as well as coordination and communication between support and business functions.
- Contributing to the development and implementation of organizational strategies, policies, and practices.
- Overseeing organizational departments HR, Sales, and Accounting.
- Working directly with HR on policies and procedures.
- Overseeing overall financial management, planning, systems, and controls.
- Involvement within company restructuring & execution.
- Directing information daily/weekly to groups such as shareholders, consumers, the firm's own employees, and CEO.
- Working directly with building management on office space leasing & management of IT-related issues.
- Providing consulting services on matters related to fundraising, tax and insurance questions, and business structure and growth.
- Team assignment and new project setup.
- Ensuring operations are seamless throughout all of our PR Agency offices throughout the U.S.
Responsibilities:
- Improving the operational systems, processes, and policies in support of the organization's mission -- specifically, supporting better management reporting, information flow and management, business process, and organizational planning.
- Managing and increasing the effectiveness and efficiency of Support Services (HR, IT, and Finance), through improvements to each function as well as coordination and communication between support and business functions.
- Playing a significant role in long-term planning, including an initiative geared toward operational excellence.
- Overseeing overall financial management, growth planning, systems, and controls.
- Payroll management, including tabulation of accrued employee benefits.
- Approval with Accounting for disbursement of payments for agency expenses.
- Organization of fiscal documents.
- Regular meetings with CEO around fiscal planning.
- Supervising and coaching operations team including office manager, HR, Sales, and Accounting on a bi-weekly basis.
Responsibilities by Function
Financial Management
- Directing annual budgeting and planning process for the organization's annual budget with ED.
- Developing and managing the annual budget.
- Overseeing monthly and quarterly assessments and forecasts of the organization's financial performance against budget, financial and operational goals.
- Assisting CEO and Accountant in creating the annual organizational budget and monitoring cash flow.
- Reviewing payroll & organizational insurance.
- Ensuring that Accounting Department requests are resolved and communicated in a timely manner to internal and external parties.
- Developing long-range forecasts and maintaining long-range financial plans.
- Developing, maintaining, and monitoring all sales and accounting systems and procedures capturing all pledges, billings, and receipts and for the recording of all revenue transactions, recommending and implementing improvements to systems.
- Being a liaison with all outside vendors.
Organizational Effectiveness
- Managing functions.
- Increasing the effectiveness and efficiency of Support Services through improvements to each function (HR, IT, Finance) as well as coordination and communication between functions.
- Driving initiatives in the management team and organizationally that contribute to long-term operational excellence.
- Providing consulting services on matters related to office space leasing, tax and insurance questions, and business structure and growth.
Organizational Leadership
- Contributing to short and long-term organizational planning and strategy as a member of the management team.
Qualifications:
At least 3 years experience in full-scale Operations, HR & Financial Management.
