Job summary

Far West Representatives LLC in Littleton, CO is seeking an Operations Manager to own day-to-day operations, from order receipt to fulfillment, and to build scalable processes as the business grows.

The role requires a highly organized, technically capable professional who can work independently, juggle multiple priorities in a fast-paced environment, and coordinate between customers, vendors, sales, purchasing, and warehouse teams to keep the business running smoothly.

Responsibilities

  • Manage the order-entry process from purchase order through fulfillment.
  • Coordinate customer orders, acknowledgments, changes, backorders, and deliveries.
  • Ensure orders are accurately entered, tracked, and completed.
  • Identify operational bottlenecks and develop solutions.
  • Establish and improve repeatable operating procedures.
  • Place and manage purchase orders with manufacturers and suppliers.
  • Track lead times, production schedules, backorders, and expected ship dates.
  • Communicate with vendors regarding pricing, availability, order changes, and delivery issues.
  • Maintain accurate purchasing and order records.
  • Coordinate incoming and outgoing shipments.
  • Manage receiving and inspection of products.
  • Maintain inventory accuracy.
  • Coordinate warehouse organization and material movement.
  • Work with freight carriers and resolve shipping issues.
  • Help establish appropriate inventory levels and purchasing practices.
  • Maintain accurate customer, opportunity, order, and activity information in Pipedrive CRM.
  • Ensure sales and operational information is properly documented.
  • Develop and maintain operational reports and tracking systems.
  • Use data to identify trends, inefficiencies, and opportunities for improvement.
  • Serve as a primary operational contact for customers and vendors.
  • Provide order status updates and resolve routine issues.
  • Coordinate between sales, engineering, purchasing, manufacturers, and customers.
  • Ensure customers receive timely and accurate communication.
  • Identify opportunities to automate, simplify, and improve company processes.
  • Develop procedures that reduce errors and improve efficiency.
  • Create systems that allow the company to scale without adding unnecessary administrative workload.
  • Help establish an organized, professional operating environment.

We are a growing technical manufacturer’s representative and distribution company serving commercial, industrial, electrical, and data-center markets. We provide technical products, engineering support, procurement, and project support to contractors, engineers, distributors, and end users.

We are looking for an Operations Manager to take ownership of the company’s day-to-day operational activities and help build scalable processes as the business continues to grow.

Position Overview

The Operations Manager will be responsible for keeping the business running efficiently from order receipt through purchasing, fulfillment, shipping, invoicing, and customer follow-up.

This is a hands-on position for someone who is highly organized, technically capable, comfortable working independently, and able to manage multiple priorities in a fast-paced environment.

The ideal candidate will become the central point of coordination between customers, vendors, sales, purchasing, warehouse/shipping, and management.

Key Responsibilities
Order & Operations Management
  • Manage the order-entry process from purchase order through fulfillment.
  • Coordinate customer orders, acknowledgments, changes, backorders, and deliveries.

  • Bachelor’s degree in Business, Operations, Supply Chain, Logistics, or a related field.
  • Equivalent professional experience will be considered in place of a degree.
