We are hiring an Operations Manager for our client, a well-established professional services firm in Boston. This is a highly visible role responsible for overseeing day-to-day business operations and ensuring key administrative functions run smoothly and efficiently. The Operations Manager will work closely with senior leadership and serve as a central point of contact across finance, human resources, technology, facilities, and general office operations.
Responsibilities
- Oversee day-to-day business and administrative operations across the organization.
- Coordinate accounts payable and accounts receivable activities with external accounting resources.
- Prepare and issue client invoices, maintain billing records, and track outstanding receivables.
- Respond to routine billing inquiries and assist with collection efforts as needed.
- Process payroll accurately and on schedule.
- Coordinate employee onboarding and offboarding activities.
- Support annual benefits enrollment, retirement programs, and other employee benefit processes.
- Serve as a point of contact for external HR, benefits, and payroll providers.
- Assist employees with routine HR and benefits questions and coordinate leave-related administration.
- Coordinate with external IT providers to address technology needs and resolve issues.
- Manage employee technology setup, equipment needs, software subscriptions, licenses, and warranties.
- Maintain records related to technology resources and support general information-security practices.
- Oversee office and facilities needs and coordinate with building management and outside vendors.
- Maintain office and workplace supplies while monitoring related expenses.
- Plan and coordinate internal meetings, company events, and employee gatherings.
- Maintain organized operational records and documentation.
- Identify opportunities to improve administrative processes and overall operational efficiency.
- Anticipate upcoming business needs, troubleshoot issues, and manage competing priorities in coordination with leadership.
Qualifications
- Several years of experience in business operations, administration, human resources, finance, office management, or a related area.
- Experience in a professional office or service-oriented environment preferred.
- Familiarity with accounts payable and receivable, payroll, benefits administration, vendor management, and office operations.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Strong attention to detail and follow-through.
- Comfortable learning and working with technology, systems, and business applications.
- Ability to handle confidential employee, financial, and business information with discretion.
- Resourceful problem-solving skills and the ability to work independently.
- Professional and service-oriented approach when working with employees, clients, vendors, and outside partners.
Compensation
$150k MAX
