Operations & Inventory Coordinator

Location: Wheeling, IL
Schedule: Full-Time
Environment: Office and warehouse/production floor, approximately 50/50 split

A growing premier manufacturer of botanical oils and products company in Wheeling, IL is seeking a detail-oriented and dependable Operations & Inventory Coordinator to support daily operations across inventory, production, logistics, employee documentation, and office administration. This role is ideal for someone who is organized, hands‑on, and comfortable working in both an office and warehouse/production environment.

Key Responsibilities

• Manage inventory processes and perform routine inventory audits to ensure accuracy
• Track and manage company assets and equipment, including routine audits and documentation
• Run and maintain production software from initial intake through finished goods sold
• Support production floor operations and communicate with team members to ensure workflow efficiency
• Assist with employee scheduling, PTO tracking, and staffing coordination
• Maintain employee documentation, including:
  • Yearly open enrollment paperwork
  • Incident reports
  • Change order forms, including direct deposit, W-2, and insurance updates
• Coordinate logistics management, including shipment tracking, order flow, and communication with internal teams
• Maintain organized office filing systems and ensure documents are accurate and up to date
• Work closely with management to solve operational issues and improve daily processes
• Support both administrative and hands‑on operational needs as required

Qualifications

• Bilingual highly preferred
• College degree preferred
• Minimum of 3 to 5 years of professional work experience with inventory management, manufacturing, order fulfillment, logistics, or warehouse operations
• Comfortable working in both an office and warehouse/production floor setting
• Experience using production, inventory, or operations software is preferred
• Strong attention to detail and ability to stay organized in a fast‑paced environment
• Ability to manage multiple priorities and shift focus as needed
