Job summary

River to Coast Children's Services (RCCS) is seeking an Operations Manager to coordinate day-to-day program operations, grants, contracts, and special initiatives in Western Sonoma County. This role partners with Executive Director, program directors, and finance staff to ensure compliant, efficient delivery of services and funded projects.

Qualifications

  • Bachelor's degree in Business Administration, Public Administration, Nonprofit Management, Organizational Leadership, Project Management, or a related field.
  • Three (3) to five (5) years of progressively responsible experience in nonprofit operations, project management, grants administration, organizational coordination, or a related field.
  • Experience managing or supporting county, state, federal, First 5, Measure I, Medi-Cal, or other publicly funded grants, contracts, or programs, including compliance, reporting, and grant administration.
  • Demonstrated ability to coordinate multiple projects, priorities, deliverables, and deadlines in a fast-paced environment.
  • Strong project management, organizational, analytical, problem-solving, and follow-through skills.
  • Ability to interpret grant, contract, and funding requirements and translate them into practical work plans, procedures, workflows, tracking systems, and implementation activities.
  • Ability to develop, implement, evaluate, and improve operational systems, policies, procedures, and workflows.
  • Experience collaborating effectively with agency leadership and staff, community partners, funders, government agencies, consultants, contractors, and multidisciplinary teams.
  • Excellent written, verbal, interpersonal, and professional communication skills.
  • Proficiency with Microsoft Office Suite, electronic databases, data management systems, and other technology used to support organizational and project operations.
  • Ability to collect, analyze, track, and prepare reports using programmatic, operational, and performance data.
  • Ability to handle confidential information with discretion and exercise sound professional judgment.
  • Valid California Driver's License, reliable transportation, and proof of automobile insurance.

Responsibilities

  • Coordinate the implementation of organizational initiatives, grant-funded projects, contracts, and agency-wide operational activities, including assigned First 5 Sonoma County-funded initiatives.
  • Develop, monitor, and maintain project work plans, timelines, deliverables, reporting requirements, and tracking systems to ensure successful and timely implementation.
  • Strengthen organizational systems, policies, procedures, workflows, and documentation to improve efficiency, accountability, compliance, service delivery, and organizational continuity.
  • Support grant and contract administration by monitoring deliverables, reporting deadlines, documentation, contractual obligations, and compliance requirements, and assist with preparation for funder monitoring, audits, and contract reviews.
  • Coordinate assigned First 5 Sonoma County-funded initiatives and other grants and projects in collaboration with Program Directors, Fiscal staff, and agency leadership to ensure alignment with approved work plans, budgets, deliverables, and funding requirements.
  • Coordinate communication and collaboration among RCCS leadership and staff, funders, consultants, subcontractors, community partners, and government agencies, including MOUs, partnership agreements, referral systems, and collaborative initiatives as assigned.
  • Oversee project data collection, reporting, performance tracking, evaluation, and continuous quality improvement activities to support accurate, consistent, and timely reporting.
  • Assist with operational and project budgeting, expenditure tracking, purchasing, vendor coordination, and financial reporting in collaboration with Fiscal staff and agency leadership.
  • Identify project delays, operational challenges, compliance concerns, and implementation barriers and work collaboratively with appropriate staff to develop practical solutions.
  • Support organizational technology, administrative systems, data security, staff training, and operational infrastructure, while ensuring confidential information is handled appropriately and securely.
  • Coordinate agency meetings, funder and partner meetings, community engagement activities, and collaborative initiatives; represent RCCS as assigned and support organizational sustainability and capacity-building efforts.
  • Perform other duties and special projects as assigned to support RCCS's mission and organizational priorities.
