Job summary

Ai Safety is seeking an entry-level Operations Coordinator to provide office, administrative, and customer support at our research center in Berkeley. Reporting to the Shared Services team, you’ll build core operations skills while supporting events, facilities, HR, and comms in a fast-paced startup-like environment.

This role is on-site, full-time, with weekday hours 8:30am–5:00pm and occasional evenings and weekends for events.

Qualifications

Experience coordinating administrative tasks for a team.
Ability to work under pressure and stay flexible as your day changes.
Experience prioritizing between multiple tasks or time-sensitive projects.
Friendly, professional, and engaging with a wide range of people.
Clear, concise written communication.
Strong attention to detail.
High proficiency with Google Docs & Sheets.
Comfortable learning new web applications and technologies.
Understanding of security processes and why security matters for our work.
Familiarity with Slack/Asana or CRM tools is a plus.

Responsibilities

Administrative support: Reserve offices and meeting rooms, prepare desks and offices for new members, update headcount estimates.
Customer support: Welcome visitors, register them in systems, give orientation tours, manage inbound requests and escalate as needed.
Site support: Troubleshoot and fix office issues, order supplies, update signage.
Event support: Staff workshops and gatherings, assist with setup and takedown, address issues.
Team support: Assist other programs and projects, with potential for ownership over time.
