  • Assist with counts, staging, returns, and discrepancy resolution.
  • Communicate project details and inventory needs with teams.
  • Visit job sites to oversee installations and progress.
  • Monitor progress and adjust schedules or resources.
  • Support management with tracking, reporting, and issue resolution.

BrightLife Designs is seeking a highly organized and detail-oriented Operations Coordinator to help manage the scheduling, inventory, and day-to-day operations of our commercial lighting, holiday décor, and event installation projects.

The ideal candidate has hands-on event inventory control experience, is comfortable working in a fast-paced environment, and can effectively coordinate field crews, warehouse resources, work orders, and project schedules.

Key Responsibilities
  • Schedule and coordinate installation crews for commercial lighting, holiday décor, and event projects.
  • Create and manage work orders and project schedules using company software.
  • Maintain accurate inventory records and coordinate materials for upcoming projects.
  • Track inventory movement between the warehouse, job sites, and projects.
  • Assist with inventory counts, staging, returns, and resolving discrepancies.
  • Communicate project details, schedules, and inventory needs with field teams, warehouse staff, and management.
  • Visit job sites as needed to oversee installations and ensure projects are progressing according to plan.
  • Monitor project progress and adjust schedules or resources as needed.
  • Assist management with project tracking, reporting, and resolving operational issues.
Qualifications
  • Minimum 2 years of experience in event inventory control, operations coordination, scheduling, or a related field is required.
  • Strong understanding of inventory tracking, organization, and reconciliation.
  • Experience managing work orders and project schedules.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficient with computer and scheduling software.
  • Able to have a flexible schedule including some nights and weekends as needed
  • Experience with Good shuffle is a BIG plus.
  • CompanyCam experience is a BIG plus.
  • Experience with commercial lighting, event décor, holiday décor, or seasonal installations is preferred.
  • Comfortable working in the field and visiting job sites when needed.
