Rivet Recruiting is seeking a highly organized Production Coordinator for a luxury lighting company based in Port Jervis, NY. You will oversee orders from sales through production to shipment, coordinating purchasing, inventory, and vendor relationships while keeping accurate data across systems.

This hands-on, systems-driven role partners with Sales, Production, Engineering, and Accounting to ensure timely order readiness and clear client communication.

Qualifications

• 2+ years in operations, purchasing, logistics, production coordination, or a similar role.

Responsibilities

• Coordinate orders from Sales through production to final shipment, ensuring specs, payment, addresses, and documentation are accurate.
• Manage vendor relationships, purchasing, inventory levels, reorder points, and incoming components.
• Coordinate shipments with UPS, LTL freight, and couriers, including labels, tracking, and replacement parts.
• Maintain CRM, inventory, vendor, and payment systems so information is accurate and up to date.
• Partner with Accounting and Engineering on vendor payments, order-ready dates, drawings, specifications, and production requirements.
• Serve as the first point of contact for client and installer questions, escalating technical issues when needed.
• Identify potential delays or issues early and follow through until they're resolved.

Our client is a growing luxury lighting company that designs and hand-builds custom glass lighting for designers, architects, and clients around the world. They are looking for a highly organized Production Coordinator to join their small production team and help keep every order, vendor, and component moving smoothly from sale to shipment.

This is a hands-on, systems-driven operations role working closely with Sales, Production, Engineering, Accounting, and vendors. You'll be responsible for keeping order information accurate, coordinating purchasing and inventory, managing shipments, and making sure everyone has visibility into what's happening and what needs attention.

What You'll Do

What We're Looking For

• 2+ years of experience in operations, purchasing, logistics, production coordination, or a similar role.
• Extremely organized with strong attention to detail and follow-through.
• Comfortable managing multiple orders, vendors, and deadlines at once.
• Strong written and verbal communication skills.
• Comfortable working with CRMs, spreadsheets, inventory/order-tracking systems, and other software.
• Self-directed, reliable, and comfortable being the person who knows where things stand.
• Experience with custom or made-to-order production, inventory, shipping, or overseas vendors is a plus.
• Must be able to work on-site in Port Jervis, NY.
