ArtsQuest in Bethlehem, PA is seeking a Seasonal Event Setup Assistant to prepare and break down spaces for concerts and festivals. You will work with the Operations Specialist to set up rooms, tents, and venues according to diagrams and guest requirements, ensuring safety and cleanliness.

The role requires a positive, customer-focused attitude, flexibility to work weekends and evenings, and the ability to move heavy items, lift up to 50 pounds, and travel between facilities as needed.

Qualifications

  • Must be at least 18 years old and have a high school diploma or equivalent.
  • Must be able to work a flexible schedule including mornings, evenings, weekends, and some overnight shifts.
  • Valid driver's license with clean driving record and reliable transportation.

Responsibilities

  • Event set-up for all spaces at ArtsQuest Center and Visitor’s Center per diagrams provided by the Operations Specialist.
  • Assist in event and festival set-up, operation, and break-down.
  • Lead and assist volunteer groups in event and festival set-up, operation, and break-down.
  • Break down rooms after events and return items to storage areas.
  • Assist with removing garbage and recycling containers after events.
  • Address guest requests promptly and courteously; troubleshoot and de-escalate issues as needed.
  • Perform routine safety and cleanliness inspections of the facility.
  • Develop knowledge of building policies and event requirements to assist guests with inquiries.
  • Answer general questions and provide information to volunteers and staff.
  • Handle additional duties as needed by guests or management.
  • General grounds maintenance and upkeep; light maintenance tasks such as light bulb changes.
  • Assist in maintenance and construction of event assets.

Requirements

Responsibilities:


  • Event set-up for all spaces at the ArtsQuest Center, and Visitor’s Center based on diagrams provided the Operations Specialist.

  • Assist in event and festival set-up, operation, and break-down.

  • Lead and Assist volunteer groups in event and festival set-up, operation, and break-down.

  • Break down all rooms when function has concluded and return items to storage areas.

  • Assist with removal of garbage and recycling containers from rooms and venues when event has concluded.

  • Handle guest requests and concerns promptly and with courtesy; Act as a sounding board for guests' concerns; troubleshoot problems that arise; defuse and remain calm under stressful situations

  • Perform routine walk-through safety and cleanliness inspections of the facility

  • Required to have a thorough knowledge of building policies, procedures and event requirements; assist guests with any inquiries regarding entertainment and services

  • Answer general questions; assist and provide information to volunteers and staff

  • Handle additional duties as needed by guests or management


In addition, this position may be required to perform a combination of the following:



  • Assist in general grounds maintenance and upkeep

  • General maintenance and organization of buildings and warehouse

  • Light maintenance duties such as changing light bulbs and minor repairs

  • Assist in the maintenance and construction of event assets


Knowledge, Skills And Abilities Required


  • Must be at least 18 years of age or have a High School Diploma.

  • Ability to work a flexible schedule year-round which may include mornings, evenings, and weekends and sometimes overnight if needed.

  • A valid driver’s license, a clean driving record and reliable transportation to move from building to building as needed.

  • Must possess a positive and upbeat personality with a desire to deliver outstanding customer service to our guests; friendly and personable; a team player; must work well with others; Strong interpersonal skills, including diplomacy and empathy.

  • Ability to follow and communicate clear guidelines and work at a very quick pace, particularly during events and other functions.

  • Ability to multi-task, detail-oriented, and able to problem solve in order to effectively deal with internal and external customers.

  • High School Diploma or Equivalent preferred.


Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Regularly required to communicate, either verbally and/or in writing. Ability to kneel, stoop, bend, lift, push, pull, pinch, grip, reach overhead, reach away from body, and repetitive motion, talking, seeing, hearing, smelling, feeling (identifying objects by touch), depth perception and color vision. Ability to work in all weather conditions to support festivals and events. Ability to multi-task with ease; organized, accurate and cooperative. Read, write, speak and understand the English language at a level adequate to perform the job; bi-lingual in Spanish or other language is a plus. Frequently required to lift up to 50 pounds frequently, with or without reasonable assistance.


Frequently required to travel between our facilities, using reliable transportation. Employee may occasionally be required to travel offsite for business events.

Position Type/Expected Hours of Work

This is a seasonal position to average 20-25 hours per week. Normal business hours are Monday through Friday, 8:30 a.m. to 5 p.m., however the employee must be willing and able to work outside normal business hours in order to support our events and activities throughout the year as needed which may include evenings, weekends and holiday. Working throughout Musikfest is a requirement, both indoors and outdoors.
