Job summary

Trace3, headquartered in Irvine, CA, seeks an Operations Specialist to support professional services delivery. You will manage project setup, invoicing, and financial integrity while collaborating with Project Managers, Finance, and Service Delivery Leads in a fast-paced environment.

The ideal candidate brings 3+ years of ops/coordination, strong Excel and PSA/ERP experience, and a detail-oriented, analytical mindset to drive operational excellence.

Qualifications

• 3+ years in operations, project coordination or financial administration in a tech or professional services setting.
• Ability to manage multiple priorities and high-volume workflows in a fast-paced environment.
• Strong analytical skills with the ability to derive insights from system data.
• Excellent attention to detail and organizational abilities.

Responsibilities

• Set up and validate new projects in PSA and Finance systems aligned to SOWs and LOEs.
• Monitor engagements, billing readiness and ensure timely invoicing.
• Create vendor POs and review invoice reconciliation for service delivery.
• Manage task reassignments, rate conversions, and nonbillable task adjustments.
• Coordinate approval workflows for resource assignments, time changes and billing exceptions.
• Track revenue recognition and perform project closure procedures.
