Monthly Pay: $3,721 - $5,558 USD per month
Summary:
Accurate updates, complete task notes, and dependable follow-through are how good work is judged in this role. The Operations Administrator supports everyday internal requests, keeping shared task information current so colleagues can complete their work without avoidable delays. This position sits within the operations team, works under an operations team lead, and collaborates with department coordinators and request owners. The position is fully remote, offering work from home in Indiana, United States, with duties performed through shared online systems. The role requires a 40-hour weekly commitment. Working days and shift times may vary.
Job Responsibilities:
- Review incoming requests from a shared email inbox and task queue, identifying the requested action, responsible colleague, due date, and any missing information.
- Check each request against established operating instructions before creating or updating its task entry, keeping descriptions clear and separating confirmed details from open questions.
- Organize assignments in a project management tool such as Trello, applying agreed categories, setting reminders, and keeping task status visible to the operations team.
- Ask request owners for missing details, clarify routine administrative questions, and record responses in the relevant task so colleagues can continue without repeating inquiries.
- Maintain current operating instructions in a knowledge base such as Notion, flagging outdated steps and submitting proposed corrections to the operations team lead for review.
- Coordinate routine handoffs between department coordinators, confirming who owns the next action and identifying dependencies that could prevent a request from moving forward.
- Follow up on outstanding requests at agreed checkpoints, update expected completion information, and alert the operations team lead when delays require a decision.
- Escalate conflicting instructions, unusual requests, and access problems to the operations team lead rather than making changes outside established administrative permissions.
- Prepare concise status summaries showing completed tasks, pending actions, and recurring obstacles, then confirm completed requests with their owners before closing the task.
- Meet quality standards through accurate task updates, timely turnaround, complete notes, and documented follow-up, using feedback to correct errors and improve subsequent work.
Qualifications:
- High school diploma or equivalent.
- No experience required; related experience supporting office operations, internal requests, or routine administrative workflows is preferred.
- Basic understanding of task ownership, due dates, handoffs, and the importance of following established operating instructions consistently.
- Familiarity with shared task lists and searchable knowledge resources; exposure to Trello or Notion is preferred, with training provided.
- Ability to compare request details, identify missing information, and enter clear updates without changing the original meaning.
- Clear written communication for internal emails, follow-up questions, status summaries, and respectful coordination with colleagues across departments.
- Reliable computer, high-speed internet, and a quiet private workspace suitable for focused desk-based work and internal conversations.
- Availability for the 40-hour weekly commitment and agreed working days and shift times, including participation in scheduled team check-ins.
