Job Responsibilities:
- Receive internal requests through email and a shared work queue, check the requested outcome, and confirm who needs to contribute before organizing next steps.
- Check incoming requests for missing details, duplicate tasks, unclear ownership, and conflicting deadlines; ask the requesting department for clarification before routing work.
- Organize task owners, target dates, dependencies, and status updates in a project management tool such as Trello, using consistent labels and clear descriptions.
- Maintain shared operating trackers so department contacts can see current priorities, completed steps, outstanding questions, and the next expected action without repeated inquiries.
- Coordinate routine handoffs between departments, confirm acceptance by the receiving owner, and check that required information accompanies each assigned task.
- Compare planned activities with available team capacity, flag competing requests, and bring resource allocation questions to the operations team lead for direction.
- Follow up with task owners when updates are missing or deadlines approach, recording responses and revised expectations so dependent work can proceed.
- Escalate unresolved blockers, repeated delays, and requests outside established procedures to the operations team lead, summarizing the issue and actions already taken.
- Compile routine summaries of key performance indicators, including request turnaround and outstanding workload, to support discussions about operational efficiency and recurring bottlenecks.
- Confirm completion with the requesting contact, close finished tasks, and maintain complete notes; quality is judged by accuracy, turnaround, complete notes, and follow-up.
Qualifications:
- High school diploma or equivalent.
- About 1-2 years of experience in business operations coordination, internal team support, or related administrative work preferred.
- Familiarity with standard operating procedures and the importance of following established steps while raising unclear instructions for review.
- Ability to organize dependencies, understand basic capacity planning, and distinguish routine requests from issues requiring a team lead's decision.
- Comfort updating task boards, assigning clear statuses, and retrieving activity history in a project management tool such as Trello.
- Ability to interpret basic operational measures, compare progress against expectations, and summarize outstanding work accurately for team discussions.
- Clear written and verbal communication for requesting missing information, confirming ownership, and explaining delays to colleagues across departments.
- A reliable computer, high-speed internet, and quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.
- Authorization to work in the United States.
- Fully remote work with desk-based responsibilities completed from your home workspace.
- Structured onboarding and training on established workflows and a project management tool such as Trello.
- Regular check-ins with the operations team lead to review priorities, questions, and progress.
- Opportunities to build business operations coordination, resource allocation, operational reporting, and cross-department follow-through skills.
- Health coverage, paid leave, a 401(k), bonus opportunities, and stipends.
