Job summary

Gothic Landscape is hiring an Operations Administrator to support our Customer Service & Post Maintenance teams in Las Vegas, NV. The role focuses on scheduling work orders, handling warranty requests, and coordinating with clients and field staff.

The position requires strong Excel skills, attention to detail, and the ability to manage multiple projects. Occasional travel to AZ/CA may be needed, with a competitive hourly rate and solid benefits.

Qualifications

• Bilingual Spanish is highly preferred.
• Must be computer savvy with experience in Microsoft Excel.
• Must have a proven attention to detail and organizational skills.
• Easily adaptable to changes in work environment and managing competing projects/deadlines.
• Ability to learn the following programs for customer service warranty/work order tracking: LSJMS, On-Screen Takeoff (OST).

Responsibilities

• Schedule and accept work orders.
• Answer calls requesting warranty dates or scheduling work orders.
• Track logs on Excel and generate maps for turnovers.
• Track AWA numbers, approvals, and when POs were received and billed.
• Send completed AWAs with POs to A/P and track logs for monthly financials.
• Correspond with clients regarding unpaid purchase orders.
• Track monthly post-install/maintenance revenue and coordinate with Superintendents on turnovers.
• Some travel to AZ/CA may be necessary.

Highlights of what our Operations Administrator will do:

• Responsible for scheduling and accepting work orders
• Answering calls from builders requesting warranty dates or to schedule work orders
• Tracking multiple logs on Excel and generating maps for turnovers
• Tracking AWA numbers, approval dates, and when PO’s were received and billed
• Sending all completed AWAs with POs to A/P and track logs to prepare for monthly financials
• Corresponding with clients regarding unpaid purchase orders
• Tracking monthly post install/maintenance revenue and communicating with Superintendents on completed areas that need to be turned over to maintenance
• Due to the nature of the operation, some travel to AZ and/or CA may be necessary

Skills and experience necessary will include, but not be limited to:
