You’ll help prioritize service needs, communicate updates, and ensure accurate work orders throughout the day.

Qualifications

• 2+ years of experience in customer service, administrative support, coordination, scheduling, or a similar environment.
• Customer-first mindset and genuine desire to help solve problems.
• Strong communication and interpersonal skills.
• Ability to stay organized while managing multiple priorities.
• Comfort with a fast-paced environment where plans can change.
• Attention to detail and commitment to accuracy.
• Proficiency with Microsoft Office (Outlook, Word, Excel).

Responsibilities

• Serve as a key point of contact for customers calling with equipment breakdowns and service requests.
• Evaluate incoming service needs and help prioritize the appropriate technician and timing.
• Keep customers informed on the status of their service calls and provide proactive updates.
• Review completed technician work orders to ensure completeness and accuracy.
• Monitor and manage Work in Progress (WIP) and update order notes.
• Process customer invoices based on billing requirements.
• Close and invoice scheduled maintenance work orders and update systems.
• Collaborate with Service Technicians to resolve missing information or discrepancies.
• Coordinate new equipment installations between customers, Sales, and Technicians to ensure smooth scheduling and execution.
