Job summary

UChicago Medicine in Burr Ridge is seeking a Patient Appointment Coordinator to support the Access Center. This on-site role handles patient demographics, insurance details, scheduling, and routine messaging using Epic and related systems to ensure accurate records and timely appointments.

You will greet callers, verify information, document notes, manage waitlists, provide directions and pre-appointment instructions, and escalate issues per protocol.

Qualifications

• High School Diploma is required.
• Excellent interpersonal skills to build relationships with patients, physicians, management, staff and customers.
• Exceptional customer service: independent thinking, sound judgment and problem solving.
• Ability to balance multiple priorities and handle challenging situations.
• Excellent verbal communication skills.
• Basic office skills including 35 wpm typing and 4500 keystrokes per hour.
• Ability to accurately enter alpha-numeric data on screens.
• Ability to use personal computers and Epic software.
• Completion of Cadence Scheduling system training and competencies.

Responsibilities

• Greets callers warmly and uses the standard greeting.
• Responds to customer inquiries appropriately.
• Obtains and inputs demographic, insurance, and referring physician information for new patient calls.
• Schedules the appointment per practice protocols using computerized scheduling systems.
• Provides pre-appointment instructions, directions and messages per protocol.
• Verifies and updates demographic, insurance, and other information for return patient calls.
• Uses scheduling systems to investigate opportunities if schedules are unsatisfactory and seeks accommodations.
• Documents all messages electronically and forwards to the clinical provider.
• Thank callers and offer further assistance as needed.
• Provide service recovery for dissatisfied callers.
• Escalate calls per protocol.
• Work waits on the list per practice protocol.
• Performs basic office duties and other assigned tasks.
