Job summary

Gainwell Technologies is seeking an experienced Mail Room Supervisor to support California’s Medi-Cal program at our Rancho Cordova office. In this role, you will oversee the daily operations of a high-volume mail room responsible for receiving, processing, scanning, indexing, securing, and distributing mail and documents related to Medi-Cal member services, claims, and provider services.

You will lead mail room employees, manage daily workflow and production, monitor quality and service levels,

Qualifications

• 3+ years in mail room ops, document processing, or related environment.
• 3+ years supervisory/leadership experience with coaching, workflow management, and performance.
• Experience in high-volume production with productivity, quality, SLAs.
• Familiarity with scanning systems, document imaging, workflow management tech.

Responsibilities

• Supervise daily mail room operations, including receiving, sorting, preparing, scanning, indexing, routing, and distributing incoming mail and documents.
• Lead, coach, train, and support mail room employees while monitoring performance, productivity, attendance, quality, and daily workflow.
• Monitor production volumes, turnaround times, quality measures, and SLAs to ensure operational expectations are met.
• Ensure confidential documents and information are handled securely in compliance with HIPAA and retention policies.
• Identify and resolve workflow, quality, equipment, and operational issues, incl. equipment maintenance and repairs.
• Partner with internal departments, leadership, and external vendors to resolve escalations and improve processes.
