Job summary

RealManage Elevated Onsite in Rancho Santa Fe, CA seeks an Onsite HOA Architectural Review Assistant to provide administrative support to the architectural department, coordinate ECC processes, and maintain records with homeowner contractors and staff.

You will log submittals, track status, prepare files, coordinate meetings, and communicate requirements, deadlines, and notices to homeowners. The role aligns with clubhouse hours and offers comprehensive benefits.

Qualifications

• Minimum 2-5 years of experience in architectural review and/or HOA compliance.
• Knowledge of California HOA law, CC&Rs, the Davis-Stirling Act, and due process requirements.
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office (Excel, Outlook, Word)

Responsibilities

• Administrative and Application Processing: Receive, log, and track all architectural submittals, ensuring completeness prior to review.
• Maintain accurate and organized records of applications, approvals, revisions, and project status.
• Prepare application files for ECC review, including plans, exhibits and supporting documentation.
• Monitor application timelines and deadlines, communicating requirements to applicants.
