Job summary

Pines Property Management, Inc. is seeking an Architectural Review Coordinator to support the General Manager and Board by efficiently processing architectural modification requests in a fast-paced environment.

You will handle inquiries via phone and email, manage resident modification requests, and coordinate meetings with residents requiring assistance. This role emphasizes accuracy, customer service, and adherence to modification guidelines.

Qualifications

• Experience processing modification requests and coordinating with committees.
• Strong proficiency with Excel and other software platforms.
• Bilingual Spanish helpful (preferred).

Responsibilities

• Answers all phone calls and emails related to modification requests inquiries.
• Manages all resident requests related to architectural modifications, submitted via the resident portal.
• Sets appointments to meet with residents who require assistance with modification requests.
• Ensures accuracy of all modification requests prior to Modification Committee meetings.
• Processes extensions for approved modifications relating to open violations.
• Prepares and mails modification committee review responses to residents
• Requests proof of permit completion as necessary.
• Updates approved changes to the modification guidelines for distribution to residents, committee members, social media managers, and staff.
• Assists with Customer Service Queue and Online Chat
• Updates homeowner contact information and turnover.
• All other duties as assigned.
