We are looking for a professional who will actively inspect the property, manage vendors, oversee maintenance and capital projects, support the Board of Directors, and ensure that the community is maintained to a high standard.

Position Overview

Community Association Management (CAM) is seeking an experienced, organized, and proactive On-Site Community Manager to manage the day-to-day operations of Metro Crossing Master Association, a large, 608‑unit community in Fremont.

This is a hands‑on management position for someone who enjoys being visible in the community, takes ownership of issues from start to finish, and understands that successful community management requires more than responding to emails. We are looking for a professional who will actively inspect the property, manage vendors, oversee maintenance and capital projects, support the Board of Directors, and ensure that the community is maintained to a high standard.

Key Responsibilities
  • Conduct regular property inspections and proactively identify maintenance, safety, appearance, and operational concerns.
  • Oversee the condition and operation of the clubhouse, pool and spa areas, fitness facilities, common areas, landscaping, irrigation, lighting, gates, access systems, and other Association‑maintained assets.
  • Manage and monitor Association vendors, including landscaping, janitorial, pool service, security, elevator, fire/life‑safety, HVAC, plumbing, electrical, and general maintenance contractors.
  • Create, track, and follow work orders and maintenance items through completion.
  • Coordinate repairs, preventative maintenance, inspections, and vendor access.
  • Obtain and review vendor proposals and assist with recommendations for Board consideration.
  • Oversee approved maintenance and capital projects from authorization through completion.
  • Maintain accurate inspection reports, photographs, service reports, project records, warranties, and other Association documentation.
  • Monitor stormwater and drainage facilities and coordinate required inspection and maintenance.
  • Assist with reserve‑study projects and long‑term maintenance planning.
  • Review vendor invoices for completion and apparent accuracy before approval.
  • Monitor operating expenses within assigned areas of responsibility.
  • Prepare monthly management reports and provide clear updates on open projects, maintenance matters, and upcoming needs.
  • Attend Board meetings and assist the Board with operational information and recommendations.
  • Track Board directives and ensure approved action items are completed.
  • Provide responsive, professional customer service to homeowners and residents.
  • Address and document common‑area rule and compliance concerns in accordance with Association procedures.
  • Coordinate emergency response for property‑related matters and promptly escape significant safety, liability, insurance, or property‑damage concerns.
  • Maintain professional relationships with homeowners, Board members, vendors, contractors, and CAM team members.
What We Are Looking For

The ideal candidate is someone who sees an issue and takes ownership of getting it resolved. This role requires a manager who is comfortable walking the property, meeting contractors, following up repeatedly when necessary, communicating clearly with the Board, and keeping detailed records.

Successful candidates should possess:

  • Prior HOA, community association, property management, or similar facilities‑management experience.
  • Experience managing vendors and contractors.
  • Strong organizational and project‑management skills.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple projects and deadlines.
  • Strong attention to detail and follow‑through.
  • Professional judgment and the ability to handle difficult or sensitive situations appropriately.
  • Working knowledge of budgets, vendor proposals, contracts, maintenance planning, and invoice review.
  • Ability to work independently while maintaining strong communication with CAM leadership.
  • Comfort using community‑management software, email, Microsoft Office, and other business technology.
  • Knowledge of California common‑interest developments and the Davis‑Stirling Act is preferred.
  • Community association management credentials are a plus.
Management Style

We are looking for a manager who is proactive rather than reactive.

At Metro Crossing, the expectation is:

Inspect → Identify → Document → Prioritize → Coordinate → Follow Up → Verify → Close

Reporting a problem is not the finish line. The successful candidate will take responsibility for moving matters forward until they are appropriately resolved.
