Job summary

Addison Group is seeking an organized Accounts Payable Specialist to support a multi-entity accounting team while serving as the first point of contact at the front desk in Yorba Linda, CA. The role is onsite, with responsibilities split about 70% accounts payable and 30% receptionist/administrative support.

The ideal candidate will handle invoice coding, entry, vendor communications, and basic front desk duties, using Excel and Sage Intacct when available.

Qualifications

• Prior accounts payable experience with invoice coding and entry.
• Capable of handling ~100 invoices per week or similar workload.
• Strong attention to detail while managing interruptions.
• Professional, friendly phone and in-person communication skills.
• Experience with Excel and Sage Intacct preferred.
• Experience supporting a front desk or handling licenses is a plus.

Responsibilities

• Process invoices, including reviewing, coding, entering, and routing for approval.
• Confirm invoices to correct entity and GL account.
• Assist with payment processing and vendor records; respond to questions.
• Research discrepancies and coordinate with accounting and internal teams.
• Support AP reconciliations and month-end tasks as needed.
• Staff the front desk, greet visitors, answer calls, and sort mail.
• Assist with licenses tracking and renewals; provide general office support.
