West Shore Home in Mechanicsburg, PA is seeking an Onboarding Specialist to support growth by guiding new hires through the onboarding process, coordinating screenings, and serving as the primary contact for candidates and leadership.

The role emphasizes compliance, timely communication, and collaboration with vendors, HRIS systems, and internal teams to ensure a smooth Day One experience and adherence to company policies.

Qualifications

• Must be authorized to work in the United States without requiring current or future employer-sponsored work authorization.
• High school diploma or equivalent.
• High attention to detail.
• Experience with HRIS software preferred.
• Demonstrated ability to work well independently and as part of a team.

Responsibilities

• Manages the pre-employment compliance process to ensure timely and accurate delivery of all required screening and documentation, in alignment with regulatory standards and company policies.
• Learns and uses HRIS system to affirm all new employees meet West Shore Home hiring standards.
• Establishes initial contact with candidates after offer, welcoming them and outlining onboarding tasks to ensure understanding of time-sensitive steps.
• Facilitates resolution of ambiguous or incomplete medical screening outcomes, ensuring results are clearly communicated and escalated when necessary.
• Processes Pre-Adverse Action and Adverse Action letters per the company’s hiring matrix.
• Coordinates health screening logistics for new hires, scheduling appointments promptly.
• Serves as a consistent point of contact for new hires, guiding them through onboarding for a smooth Day One experience.
• Maintains relationships with external partners to resolve issues and remove onboarding barriers.
• Validates completion of all pre-hire requirements with candidates, management, and teams to ensure readiness.
• Communicates any delays/start-date changes to relevant teams.
• Maintains regular in-person attendance per ADAAA, FMLA, and applicable regulations.
