Job summary

American Roofing & Metal Co., Inc. in Louisville, KY is hiring a Pre-Construction Coordinator to manage the administrative coordination, documentation, and tracking that keeps our Pre-Construction department on time and error-free.

You will ensure every project that enters Pre-Con has accurate data, organized files, and active status visibility from award through production handoff. You don’t need roofing experience.

Qualifications

• Strong attention to detail and file accuracy.
• Ability to manage multiple projects simultaneously.
• Comfort learning new software quickly and using multiple systems.
• Process-oriented with checklist discipline.
• Follow up promptly when teammates are delayed.

Responsibilities

• Set up and verify project folders, file naming, and document organization.
• Create and maintain job records, cost codes, and estimates in Sage Intacct.
• Verify project data is complete before moving from Sales to Pre-Construction.
• Create shell templates in Smartsheet for materials lists and logs.
• Seed submittal logs with AI-assisted tools and track statuses.
• Monitor tracking sheets and follow up on stale fields.
• Set up access in GC platforms and route items to the right team.
• Publish weekly status reports highlighting blockers and deadlines.
• Coordinate Pre-Con to Production handoffs with readiness checks.
