Job summary

The Mom Project is seeking an Operations Coordinator on a contract basis in South Bend, Indiana, to support daily fulfillment, shipping, inventory management, and administrative operations at our headquarters.

The ideal candidate is highly organized, reliable, and detail-oriented, able to manage multiple priorities, coordinate with carriers, maintain ERP data, and help drive efficiency across the operations team.

Qualifications

• Minimum of 2 years of operations, shipping, logistics, fulfillment, inventory, or administrative experience.
• Strong organizational and time management skills with exceptional attention to detail.
• Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
• Excellent written and verbal communication skills.
• Experience maintaining data, trackers, reports, and inventory records.
• Strong problem-solving skills and ability to work independently with minimal supervision.
• Demonstrated history of reliability, punctuality, and professional workplace conduct.

Responsibilities

• Manage daily fulfillment and shipping operations from the HQ office.
• Coordinate with UPS and shipping partners to ensure on-time pickups.
• Maintain accurate inventory counts for samples, materials, IT equipment, and assets.
• Monitor packaging supplies and proactively reorder to prevent disruptions.
• Enter and track shipment information in the ERP system.
• Monitor orders and shipments to ensure timely delivery and issue resolution.
• Maintain IT equipment inventory and coordinate needs with stakeholders.
• Investigate and resolve shipping, inventory, fulfillment, and admin issues.
• Produce operational reports, trackers, and records with high accuracy.
• Support the Operations team with projects and process improvements.
• Demonstrate professionalism, reliability, and accountability.
