Job summary

Hines is hiring an Assistant Community Manager - Multifamily to support the Community Manager in overseeing financial and operational aspects of the community. You will handle accounting tasks, monthly closes, and financial reporting while coordinating with residents and vendors.

You will assist in owner relations, conduct community tours, and respond to performance-related inquiries, contributing to high retention and smooth operations.

Qualifications

• High school education or equivalent from accredited institution.
• Two or more years prior experience in property management or related industry.
• Experience with property management software; Entrada a plus.
• Intermediate knowledge of Microsoft Office.
• Knowledge of basic accounting practices.
• Excellent verbal and written communication skills.
• Work indoors approximately 95% of the time and outdoors 5% of the time.
• Ability to lift up to 25lbs.
• Be accessible 24 hours a day in case of an emergency and perform on-site operations management during natural disasters.
• Transfer properties and work overtime as business needs deem appropriate.
• Ability to work a flexible schedule including weekends and holidays.

Responsibilities

• Completes the daily transactions and tasks related to the financial operation of the community by collecting and posting rent, fees, and other payments, preparing daily bank deposits and reconciling bank accounts, preparing financial reports, and processing invoices and payables.
• Reviews resident files and accounting records, communicates with residents regarding outstanding balances, implements procedures for collecting delinquencies, and enforces the lease to maximize revenue.
• Adheres to established procedures related to evictions by following proper notice requirements, evicting residents, and representing the community in court hearings and eviction proceedings.
• Reviews and submits invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased.
• Processes resident move-outs by reviewing lease terms and notice requirements.
• Promotes resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner and addressing service issues.
• Acts as the on-site supervisor in the absence of the community manager by organizing daily work and coordinating maintenance tasks.
• Assists in managing the client/owner relationship by meeting with owners, conducting community tours, and providing updates on performance.
