Job summary

AIMRIGHT Testing & Engineering, LLC in Tulsa, OK is seeking a detail-oriented Bookkeeping Specialist to support our engineering, materials testing, and drilling operations. You will manage AP/AR, invoicing, and general accounting tasks on-site, collaborating with project managers and leadership.

We welcome Associate, Specialist, or Senior Specialist level candidates with strong QuickBooks, Excel, and organizational skills, and a commitment to accuracy and confidentiality.

Qualifications

• Practical experience with bookkeeping and related accounting functions.
• Working knowledge of QuickBooks Online (QBO).
• Proficiency with Microsoft Excel and Google Sheets.
• Understanding of basic accounting principles, expense coding, and financial recordkeeping.
• Strong attention to detail, organizational skills, and accuracy.
• Ability to manage multiple priorities, follow up on outstanding items, and meet deadlines.
• Effective written and verbal communication skills.
• Ability to maintain confidentiality and handle sensitive financial information.

Responsibilities

• Process AP invoices (vendor invoices into QuickBooks Online).
• Code and enter expenses to correct accounts and projects.
• Track approvals and supporting documentation from supervisors and project managers.
• Review invoices against POs, receipts, and approvals.
• Identify discrepancies and resolve duplicate charges.
• Maintain organized vendor records and support timely payment processing.
• Prepare and issue customer invoices based on project data.
• Coordinate with project managers for billing information.
• Monitor outstanding invoices and assist with billing questions.
• Maintain customer AR records.
• Maintain financial records in QuickBooks Online.
• Assist with reconciliations and month-end activities.
• Prepare Excel/Sheets trackers and reports.
• Support cost tracking and financial documentation for projects.
• Identify opportunities to improve workflows.
