Seeking a highly organized, proactive Office & Talent Management Assistant to help keep a fast-paced entertainment-focused management operation running smoothly. This hands-on role combines executive and talent-management desk support with office coordination, front-desk coverage, and day-to-day operations.
The ideal candidate is resourceful, polished, detail-oriented, and comfortable moving between calendar management, client communication, office upkeep, administrative projects, and occasional errands.
Schedule: Monday-Friday, 9:30-6:30PM; on-site Monday-Thursday with remote work on Friday
Pay Rate: $25/hour.
Key Responsibilities
Management & Desk Support
- Manage high-volume calendars, scheduling, calls, meetings, and daily priorities for a Talent Manager.
- Serve as a professional first point of contact for clients, agents, executives, and external partners.
- Coordinate client schedules, travel, logistics, and meeting preparation.
- Maintain client trackers, internal grids, submission materials, reports, and meeting agendas.
- Prepare and submit booking reports and related materials to the accounting team.
- Review client materials, take detailed notes, and stay current on relevant industry news and opportunities.
- Help organize workflows for submitting clients to projects and tracking current and prospective clients.
- Provide coverage for teammates and assist with research, special projects, and ad hoc requests.
Office Management, Reception & Operations
- Welcome visitors, manage deliveries, and provide front-desk coverage as needed.
- Track, order, and replenish office supplies, pantry items, and equipment.
- Monitor office request forms and coordinate timely fulfillment.
- Keep shared spaces, kitchen areas, and office appliances organized, clean, and functional.
- Manage mail and package intake, distribution, and regular mailroom checks.
- Run local errands, including supply pickups, catering coordination, shipping, and deliveries.
- Assist with light technology troubleshooting and elevate issues to IT when appropriate.
- Support operational projects and general administrative needs across the team.
Required Qualifications
- 2+ years of experience in office coordination, operations, administration, reception, executive assistance, or a comparable role.
- Exceptional organization, follow-through, attention to detail, and ability to manage competing priorities.
- Strong written and verbal communication skills with a professional, service-oriented approach.
- Ability to remain calm under pressure and meet deadlines in a high-volume environment.
- Sound judgment and discretion when handling confidential information.
- Comfort using spreadsheets, calendars, cloud-based tools, and new systems.
- Reliable transportation and availability to work on-site during scheduled hours.
- Ability to occasionally lift or move supplies and complete local errands.
Preferred Qualifications
- Bachelor’s degree or equivalent experience.
- Prior experience in entertainment, talent representation, agency, production, or a similarly fast-paced environment.
- Experience with tools such as Google Workspace, Box, Airtable, Monday.com, Canva, Slack, or CRM platforms.
- Familiarity with facilities coordination, inventory management, vendor coordination, or office operations.
