As an Office Specialist I at the Bureau of Alcoholic Beverages and Lottery Operations (BABLO), you will be critical to the operation and regulation of this growing industry. You will go to work every day knowing that you are an important part of a team that keeps the people of Maine safe. This is mid-level regulatory work which offers the opportunity for career development and advancement- both within the Bureau and across Maine state government. This work primarily consists of direct support for the Spirits Operations Manager and is an in office position.
Representative Tasks
- Creating and maintaining spreadsheets
- Reviewing Price Quotes for new products and pricing changes
- Preparing materials for presentation at monthly Liquor and Lottery Commission meetings
- Acting as back up for the Clerk of the Liquor and Lottery Commission
- Reviewing and responding to discount requests from agency liquor stores
- Responding to written and telephone inquiries from members of the industry and the public
- Reviewing and tracking the on-premises data collection project and acting as first point of contact for this program
- Assisting with the online Seller and Server Certification program
- Researching new product requests from consumers and licensees
Knowledge, Skills and Abilities Required
- Understand and follow oral and written instructions
- Understanding of Modern office procedures
- Create Excel worksheets and perform data entry
- Create documents and presentations with Microsoft Word and Power Point
- Create and run virtual meetings with both Microsoft Teams and Zoom platforms
- Communicate clearly and effectively, including writing concise reports and composing standard business correspondence
- Work independently
- Meet strict deadlines while working on multiple projects
Minimum Qualifications
Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a proficient knowledge of modern office practices to perform advanced administrative support tasks requiring specialized skills, and 2) the ability to use independent judgment, initiative, and discretion to make determinations on varied matters. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, Office Associate I and Office Associate II.
Licensing/Registration/Certification Requirements
Some positions may require possession of a valid Class B Maine Motor Vehicle Operator’s License.
