Job summary

The Carlyle Group in New York is seeking an Office Services Assistant to provide in‑office support for the NYC location. You will prioritize multiple tasks, manage mail and packages, stock kitchens, and assist with office moves and conference room setups.

Ideal candidates have 1–2+ years of experience, strong organizational and communication skills, and the ability to lift up to 70 lbs. The role requires in‑office presence five days per week.

Responsibilities

  • Sort and distribute incoming mail and packages (FedEx/UPS/DHL).
  • Stock and maintain kitchens and common areas.
  • Assist with office moves, furniture setup, and artwork hanging.
  • Process large-scale copying, binding, and scanning requests.
  • Set up, break down, and reset of conference rooms for meetings and events.
  • Process outgoing mail and escalate maintenance requests as needed.

Job description

Position Summary The principal responsibility of this position is to provide office support to the NYC office. The office services assistant must be able to prioritize multiple assignments, have outstanding organizational skills, be conscientious, reliable, and efficient, have the ability to lift heavy packages, and have technical knowledge of computers and office equipment.

In-Office Requirement: 5 days per week

Primary Responsibilities

40% of time

  • Sort and distribute incoming mail, FedEx, UPS, DHL, and various other time-sensitive courier packages
  • Stock and maintain kitchens

30% of time

  • Office Moves (M.A.C) including moving office furniture and accessories, set-up of new offices, hanging artwork and boards
  • Process large-scale copying, binding, and scanning requests

20% of time

  • Stock and maintain satellite copy rooms
  • Assist with the setup, breakdown, and reset of conference rooms for large meetings, executive meetings, and corporate events

10% of time

  • Process out-going FedEx, USPS mail
  • Escalate maintenance requests for all office equipment to Office Manager
  • Report building related issues to Office Manager and ensure that they are taken care of in a timely manner

Requirements

Education & Certificates

  • High school diploma, required

Professional Experience

  • 1-2+ years of experience, required.
  • Must possess basic computer skills including the Microsoft Office Suite.
  • This role will be in the office 5 days a week.
  • Excellent communication and customer services skills.
  • Possess a strong work ethic and professional demeanor.
  • Must have excellent organizational skills and be able to prioritize assignments effectively.
  • Must be able to lift/handle items up to 70lbs with or without reasonable accommodation.
  • Flexibility with hours and assignments and willingness to work overtime as needed.

Benefits/Compensation

The compensation range for this role is specific to New York, NY, and takes into account a wide range of factors including but not limited to the skill sets required/preferred; prior experience and training; licenses and/or certifications.

The anticipated base salary range for this role is $50,000 to $55,000.

In addition to the base salary, the hired professional will enjoy a comprehensive benefits package spanning retirement benefits, health insurance, life insurance and disability, paid time off, paid holidays, family planning benefits and various wellness programs. Additionally, the hired professional may also be eligible to participate in an annual discretionary incentive program, the award of which will be dependent on various factors, including, without limitation, individual and organizational performance.
