AnderCorp is seeking a highly organized, tech-savvy Office & Project Coordinator to serve as the operational backbone of our Oxford office and Federal Division.
This is not a traditional administrative role. We are looking for someone who thrives on creating order, improving processes, managing critical information, and supporting teams that deliver complex federal construction projects. You'll work at the intersection of operations, contracts, document management, reporting, proposals, and project delivery, giving you exposure to nearly every aspect of our growing Federal Division.

What You’ll Do
Contract & Compliance Administration
- Manage contract workflows from award through closeout
- Maintain contract and subcontract registers
- Coordinate subcontracts, purchase orders, change orders, bonds, insurance certificates, and lien waivers
- Maintain company registrations and certifications, including SAM.gov, PIEE, SPRS, and agency portals
- Support compliance tracking, reporting, and recordkeeping requirements
Document Management & Microsoft 365 GCC
- Serve as the division's document control lead within Microsoft 365 GCC
- Manage SharePoint site structure, permissions, version control, and retention processes
- Maintain file organization standards and document control procedures
- Coordinate security and compliance requirements related to CUI and government cloud environments
- Develop templates, forms, and workflow automations that improve efficiency
Reporting & Data Management
- Build and maintain recurring dashboards and reports for leadership
- Track pursuit pipelines, recruiting metrics, contract status, and project deliverables
- Ensure data accuracy across departmental trackers and systems
- Prepare meeting materials, action logs, and follow-up reporting
- Monitor federal procurement portals and solicitation updates
- Maintain company proposal resources, resumes, project profiles, and past-performance materials
- Support proposal production, compliance reviews, formatting, and final submissions
- Coordinate schedules, reviews, and deadlines with proposal and pursuit teams
Design & Project Management Support
- Maintain design deliverable logs, RFI logs, and comment-resolution trackers
- Coordinate design review meetings and distribute project documentation
- Manage transmittals between consultants, trade partners, owners, and government reviewers
- Assist with permitting and agency coordination efforts
Oxford Office Operations
- Serve as the primary operational contact for the Oxford office
- Coordinate vendors, supplies, equipment, and facility needs
- Support onboarding and orientation activities
- Coordinate travel, meetings, and team events
- Act as a liaison with HR, Accounting, IT, and Marketing teams
What We’re Looking For
Required Qualifications
2-5 years of experience in project coordination, contract administration, business operations, document control, or a related field
Bachelor's degree preferred (equivalent experience considered)

Strong Excel reporting and tracking capabilities, including pivot tables and data organization
Exceptional organizational and multitasking skills
Strong written and verbal communication skills
Proven ability to learn new technology and improve processes
Preferred Qualifications
- Construction, architecture, engineering, or government contracting experience
- Familiarity with federal procurement systems such as SAM.gov and PIEE
- Experience administering SharePoint environments, particularly within GCC or GCC High
- Procore, Bluebeam, or other construction management platform experience
- Adobe InDesign or proposal production experience
- Interest in future leadership opportunities
