Job summary

AnderCorp, LLC in Oxford, MS seeks an Office & Project Coordinator to become the operational backbone of our Oxford office and Federal Division. This role blends systems management with hands-on administration, owning contract workflows, document control in Microsoft 365 GCC, and leadership-facing reporting.

Qualifications

  • 2–5 years of experience in project coordination, contract administration, business operations, document control, or a comparable role.
  • Advanced proficiency with Microsoft 365—SharePoint, Teams, Outlook, Word, and Excel—with demonstrated ability to organize and administer shared document environments.
  • Strong Excel skills, including the ability to build and maintain trackers, pivot tables, and reports without supervision.
  • Exceptional organizational skills and attention to detail, with a track record of managing multiple concurrent deadlines.
  • Clear, professional written and verbal communication with internal teams and external partners.
  • Demonstrated ability to learn new systems quickly and improve existing processes.
  • Experience in construction, architecture, engineering, or government contracting.
  • Familiarity with federal procurement concepts and portals—SAM.gov, PIEE, or agency-specific systems.
  • Experience administering SharePoint sites, permissions, or document control in a Microsoft 365 GCC or GCC High environment.
  • Experience with construction document management platforms such as Procore or Bluebeam.
  • Exposure to Adobe InDesign or proposal production workflows.
  • Interest in developing toward a leadership position.

Responsibilities

  • Administer contract workflows from award through closeout such as routing for review and signature, tracking execution status, and maintaining the contract and subcontract register.
  • Prepare, route, and file subcontracts, purchase orders, change orders, insurance certificates, bonds, and lien waivers for Federal and Oxford Office managed projects.
  • Maintain company registrations, representations, and certifications, including SAM.gov, PIEE, SPRS, and agency portals, and track renewal and expiration dates.
  • Support compliance recordkeeping for federal requirements—small business utilization reporting, certified payroll coordination, and annual training and certification logs.
  • Serve as the division’s document control lead within the Microsoft 365 GCC environment site structure, permissions, version control, and retention.
  • Enforce file naming conventions, folder hierarchy, and document control standards across pursuits and projects so information is findable and audit-ready.
  • Manage access controls and external sharing in accordance with CUI handling and government cloud requirements, coordinating with IT on security and compliance matters.
  • Identify and implement practical improvements such as templates, automated workflows, and forms that reduce manual effort across the division.
  • Build and maintain recurring reports and dashboards for division leadership, including pursuit pipeline, recruiting, contract status, and project deliverable tracking.
  • Maintain the accuracy of underlying trackers and logs so reported data can be trusted without rework.
  • Prepare meeting agendas, materials, and follow-up action logs for division and office meetings, and track open items to closure.
  • Monitor SAM.gov and agency portals for relevant updates.
  • Maintain and update the federal document library including resume, project profile, and past-performance.
  • Support production and quality control of proposal documents—formatting, compliance checks against the solicitation, and final package assembly and upload.
  • Coordinate proposal schedules, review sessions, and internal deadlines in support of the Marketing/Proposal Manager and pursuit leads.
  • Maintain design deliverable logs, registers, RFI logs, and design comment-resolution trackers in support of the Design Manager.
  • Coordinate design review meetings, distribute review packages, and track comments for the team.
  • Manage transmittals and document distribution among design consultants, trade partners, owners, and government reviewers.
  • Assist with permitting, licensing, and authority-having-jurisdiction submissions and correspondence.
  • Serve as the day-to-day operational point of contact for the Oxford office, including vendor coordination, supplies, equipment, and facility needs.
  • Support onboarding and orientation logistics for new Oxford and Federal Division staff.
  • Coordinate travel, meetings, and events for the office and division.
  • Act as a liaison to corporate accounting, HR, IT, and marketing on behalf of the Oxford office.

Job description

AnderCorp is seeking a sharp, technically capable Office & Project Coordinator to serve as the operational backbone of our Oxford office and Federal Division. This is a systems-and-information role first and a traditional administrative role second: the Coordinator owns contract workflows, document control within our Microsoft 365 GCC environment, and the reporting that leadership relies on to run the division.

Beyond operations, the Coordinator works directly alongside the preconstruction, proposal, and design management teams—assembling pursuit materials, tracking submittal and design deliverables, and keeping federal solicitations moving on schedule. The role touches nearly every function of the division, which makes it an unusually strong seat for someone who wants to learn how federal construction pursuits and project delivery actually work.

We are looking for someone organized, curious, and comfortable with technology—a person who improves the systems they inherit rather than simply maintaining them.

Key Role Responsibilities

Contract & Compliance Administration
