Job summary

Addison Group is hiring an Office Operations Support in Tulsa, OK, for a full-time, direct-hire role with a Monday–Friday, 8:00 AM–4:30 PM schedule. The position focuses on organization, documentation, data entry, recordkeeping, and general office support to strengthen day-to-day operations.

Over time, you will gain exposure to customer orders, purchasing, production, shipping and receiving, supplier coordination, and other operational functions.

Qualifications

  • High school diploma or equivalent.
  • Experience in administrative, office, customer service, logistics, order support, or related position.
  • Strong organizational skills and attention to detail.
  • Ability to learn new computer programs and business management systems.
  • Proficiency with Microsoft Excel and Outlook.

Responsibilities

  • Maintain organized physical and electronic files and business records.
  • Assist with office organization and administrative improvement initiatives.
  • Review outstanding documents and help identify items requiring follow-up.
  • Enter, update, and maintain information in internal business systems.
  • Prepare and maintain Excel spreadsheets and assist with basic tracking reports.
  • Support customer order entry and processing of purchasing documentation.
  • Assist with reviewing business documents and agreements following training.
  • Monitor order activity, delivery information, and outstanding action items.
  • Maintain task lists and follow up on assignments to ensure timely completion.
  • Provide administrative support for purchasing and supplier communications.
  • Track materials and services provided by outside vendors.
  • Research product availability, order status, and other information as requested.
  • Organize production-related paperwork and documentation.
  • Provide administrative support for shipping and receiving activities.
  • Communicate with customers and other contacts as assigned.
  • Assist in documenting and improving office procedures and workflows.
  • Identify discrepancies, incomplete information, or potential concerns and bring them to the appropriate team member.
  • Assist with special projects and other administrative duties as needed.

Job Description: The Office Operations Support position provides administrative assistance across several areas of the business. The role will begin with a strong focus on organization, documentation, data entry, recordkeeping, and general office support.


Over time, the individual in this position will become familiar with customer orders, purchasing, production, shipping and receiving, supplier coordination, and other operational functions. The ideal candidate is detail‑oriented, dependable, willing to learn, and comfortable taking ownership of assigned tasks.


Key Responsibilities

  • Comfortable learning new computer programs and business management systems.

  • Proficiency with Microsoft Excel and Outlook.

  • Ability to accurately work with part numbers, quantities, revisions, records, and other detailed information.

  • Ability to understand and follow written procedures and instructions.

  • Strong follow‑through and ability to complete assigned work.

  • Comfortable requesting clarification when instructions or requirements are unclear.

  • Ability to manage competing priorities and meet established deadlines.

  • Willingness to learn multiple areas of office and business operations.

  • Ability to work effectively in a fast‑paced manufacturing environment.

  • Manufacturing or aerospace experience is a plus, but not required.


Additional Details

This role involves working throughout office, production, and warehouse areas. Candidates must be able to regularly sit, stand, and walk and occasionally lift or carry items weighing up to 25 pounds.


The position is designed for someone who is comfortable starting with foundational administrative responsibilities and gradually expanding their role as they learn the business.
