Scion Staffing, Inc. is seeking an Office Operations / Finance Coordinator for a mission-driven professional association in the greater Chicago area.

This full-time, direct-hire role blends administrative duties with basic accounting support in a hybrid setup, with about three days per week onsite. You will manage routine finance tasks, office operations, onboarding support, and cross-department coordination, contributing to efficiency and confidentiality.

Qualifications

  • Experience supporting office operations, administration, finance, accounting, or another detail-oriented coordination function.
  • Strong numerical aptitude and comfort with data entry and financial information.
  • Proactive, accountable work style with the ability to manage multiple priorities with limited supervision.
  • Familiarity with Microsoft Office; experience with ERP/financial systems is helpful but not required.
  • Strong communication and collaborative approach across departments.

Responsibilities

  • Support routine finance activities, including invoice entry, bank deposits, refunds and reallocations, vendor documentation, and other transactional accounting needs.
  • Coordinate day-to-day office operations, including supplies, inventory, mail, deliveries, shipments, vendors, building needs, and workplace readiness.
  • Maintain accurate records and documentation while handling sensitive financial, employee, and organizational information.
  • Coordinate internal meetings and office activities, including conference room prep, food and beverage arrangements, visitors, and event logistics.
  • Assist with employee onboarding and offboarding by coordinating equipment, technology, access, and related documentation.
  • Collaborate across departments to anticipate needs and improve office and administrative processes.

Scion Staffing has been engaged to conduct a search for an Office Operations / Finance Coordinator for our partner, an established mission-driven professional association dedicated to advancing education, knowledge sharing, and excellence within its field. This is a full-time, direct-hire, hybrid position in the greater Chicago, IL area, with approximately three days per week onsite.

POSITION OVERVIEW:

The Office Operations / Finance Coordinator will play an important role in keeping both day-to-day office operations and routine financial processes running smoothly. This position combines hands-on administrative and workplace coordination with accounting support, making it an excellent opportunity for someone who enjoys variety, takes ownership of their work, and is comfortable working with numbers. The ideal candidate is highly organized, proactive, detail-oriented, and excited to contribute wherever support is needed within a collaborative team.

RESPONSIBILITIES:

  • Coordinate internal meetings and office activities, including conference room preparation, food and beverage arrangements, visitors, and occasional event-related logistics.
  • Support employee onboarding and offboarding by coordinating equipment, technology, building access, documentation, and other administrative needs with internal and external partners.
  • Collaborate across departments, anticipate upcoming needs, and proactively identify opportunities to keep office and administrative processes organized and running efficiently.
QUALIFICATIONS:
  • Experience supporting office operations, administration, finance, accounting, or another detail-oriented coordination function.
  • Strong attention to detail, numerical aptitude, and comfort performing accurate data entry and working with financial information.
  • Proactive and accountable work style with the ability to anticipate needs, manage multiple priorities, and follow responsibilities through to completion with limited supervision.
  • Comfort using Microsoft Office and learning new technology; experience with accounting, ERP, or financial systems is helpful but not required.
  • Strong communication and interpersonal skills with a collaborative, flexible approach and willingness to contribute across different areas of the organization.
COMPENSATION AND BENEFITS:

This direct-hire opportunity offers an annual salary of $63,000–$67,000, with potential flexibility based on experience, along with a comprehensive benefits package.
