You are the person who keeps things running. As Office Manager at regenold, you are the central point of contact for colleagues, guests, and service partners alike — making sure our office environment is welcoming, well‑organised, and ready for whatever the day brings.
This is a hands‑on, varied role that combines front office presence with event coordination, procurement, and cross‑departmental administrative support. You will work closely with teams across the organisation and play a visible, valued part in how regenold presents itself — internally and externally.
What you will do
Front office & reception
- First point of contact for clients, guests and incoming calls
- Manage the switchboard, the reception area and incoming and outgoing correspondence
- Responsible for opening and closing the business premises
Administrative support
- Travel management for client visits, trade fair attendance and remote colleagues
- Cross‑departmental support: onboarding and offboarding, invoice checking, workshop organisation
- Prepare and set up meeting rooms ahead of internal and external appointments
- Create and maintain documentation and internal process records
Event coordination
- Organise internal company events (social events, employee lunches)
- Support the planning and coordination of the annual regulanet® conference
Office & procurement management
- Manage procurement for catering, office supplies and events
- Organise workspaces, parking and employee accommodation
- Coordinate with maintenance, facility management and tradespeople
What you bring
- Completed commercial or administrative training or equivalent qualification
- A confident, friendly manner with colleagues, guests, and clients
- Comfortable working in a fast‑moving environment where no two days look the same
- Structured, independent working style with a clear sense of priorities
- Fluent German and strong English, both written and spoken
- Proficient with MS Office; open to learning new tools and systems
- Flexibility to work rotating shifts: early shifts from 07:45 and late shifts until 18:00
